Position Summary
The Sales Administrator provides administrative support to the Patten Homes Carleton Place Sales Office and helps deliver an exceptional experience for all guests and purchasers. Hours are Monday to Wednesday from 12:00pm-6:00pm and Saturday & Sunday from 12:00pm-5:00pm.
Duties & Responsibilities
- Provide an exceptional customer experience for all visitors to the Patten Homes sales office and model home(s)·
- Welcome prospective purchasers and guests to the sales office and model homes;
- Answer incoming phone calls and emails and direct inquiries to the appropriate team members as needed;
- Support the Sales Representative by collecting the required identification and contact information from eligible purchasers to prepare the Agreement of Purchase and Sale (APS);
- Enter purchaser information into NewStar and SalesExpress to prepare Agreements of Purchase and Sale;
- Issue approved APS documents through DocuSign for e-signature, as required;
- Monitor outstanding DocuSign packages to ensure signatures are received in a timely manner;
- Upload completed sales documentation to the appropriate database or SharePoint site for team visibility;
- Create and maintain pricing packages for available products to share with guests in person and by email;
- Review the weekly availability report to ensure available lots are ready to sell in the system of record and update pricing packages as needed;
- Accept sales agreement deposits and Design Centre upgrade payments, prepare the appropriate Receipt of Funds documentation, and upload records to SharePoint as needed;
- Monitor inventory levels and order office supplies as needed to support day-to-day operations;
- Provide in-person or virtual support to other Patten Homes sales offices during new community launches, lot releases, and staff absences;
- Work with the Sales Representative to maintain monthly model home(s) and sales office deficiency reports and ensure presentation areas remain in excellent condition;
- Perform other duties consistent with the scope and purpose of the role, as assigned by management.
Qualifications & Experience
- 2-3+ years experience in administrative, sales support, or customer facing role; previous experience with a new home builder is considered an asset;
- Excellent customer service skills with a strong focus on creating positive customer experiences;
- Strong communication skills, including listening, verbal, and written communication;
- Reliable, adaptable, and solution-oriented;
- Strong time management and organizational skills;
- Excellent attention to detail;
- Strong initiative and ability to work independently;
- Proficiency with Microsoft Office;
- Experience with SharePoint, NewStar, SalesExpress, Lasso, and Anewgo is considered an asset;
- Bilingualism (English/French) is an asset;

Pay: $45,000.00-$60,000.00 per year
