Community Programs Coordinator

- Location: Remote within the Bow Valley, with regular in-person work in Canmore

Position Summary
As Canmore Pride continues to grow, we're looking for someone to lead the coordination of our year-round community programming.
The Community Programs Coordinator is responsible for the day-to-day planning, coordination, and administration of Canmore Pride's recurring community programs. This role helps ensure programs are well organized, well communicated, and supported by volunteers, allowing them to run consistently throughout the year.
This is primarily a behind-the-scenes coordination role. You'll spend much of your time planning programs, coordinating volunteers, communicating with participants and partners, maintaining documentation, and developing systems that support long-term sustainability.
You'll work closely with the Executive Director while having the independence to manage your own workload and day-to-day priorities.

- Films for Thought
- Make & Mingle / Pride in the Park
- Queer & Trans Climbs
- Board Game Nights
Programs may evolve over time as community needs and interests change.
Responsibilities
Community Program Coordination
- Coordinate the planning and delivery of Canmore Pride's recurring community programs.
- Coordinate venues, facilitators, accessibility considerations, supplies, food, and program logistics.
- Work with community partners, facilitators, and volunteers to support consistent, inclusive, and safe delivery of programs.
- Coordinate facilitator agreements and honorariums.
- Track registrations, attendance, and participant feedback.
- Support the Executive Director with logistics for the annual Canmore Pride Festival and other community initiatives as needed.
- Work with the Executive Director to identify opportunities to strengthen existing programs.
Volunteer Coordination
- Recruit, screen, onboard, schedule, and support volunteers.
- Serve as the primary contact for volunteers participating in community programs.
- Coordinate volunteer communications and scheduling.
- Track volunteer hours and participation.
- Maintain volunteer resources, onboarding materials, and orientation documentation.
- Encourage volunteers to build confidence and take on leadership opportunities within the organization.
Communications
- Create and schedule social media content that promotes community programs.
- Monitor and respond to program-related messages and comments on social media.
- Update website content for community programs.
- Coordinate and distribute the monthly e-newsletter.
- Ensure program information, including accessibility details, is communicated clearly and consistently.
Program Administration
- Maintain simple program budgets and track expenses.
- Develop and maintain documentation for recurring programs, including planning guides, budgets, timelines, contacts, and operational notes.
- Respond to program-related emails and inquiries in a timely manner.
- Participate in regular planning meetings with the Executive Director.
- Maintain records that support program evaluation and future planning.
Experience & Qualifications
Qualifications
- Experience coordinating community programs, events, or similar initiatives.
- Strong organizational skills and the ability to manage multiple projects simultaneously.
- Familiarity with using Canva or similar design software, and creating/scheduling social media content.
- Comfort managing simple budgets and tracking expenses.
- Ability to develop clear documentation, templates, and organizational processes.
- Confidence using spreadsheets, word processing software, online collaboration tools, and other digital platforms.
- Clear and effective written and verbal communication.
- Able to work independently, take initiative, and collaborate effectively with others.
- An understanding of 2SLGBTQIA+ communities and a commitment to creating welcoming and inclusive spaces.
Assets
- Previous involvement in coordinating, supporting, or working alongside volunteers.
- Familiarity with the nonprofit or community sector.
- Comfort managing and updating website content.
- Knowledge of email newsletter platforms and distribution.
- Proficiency with Google Workspace.
- Knowledge of accessible and inclusive event planning practices.
- Established connections or familiarity with the Canmore and Bow Valley community.
Working Conditions
- Remote position based in the Bow Valley with flexible schedule averaging 20 hours per week.
- Regular weekday and occasional evening/weekend availability required for in-person attendance of meetings and/or events
- Payment for services provided will be remitted via invoices submitted to the organization on a monthly basis; no source deductions will occur and the contractor is responsible for remitting their own income tax, CPP, and any other applicable statutory contributions.
- Vacation pay, statutory holiday pay, and other typical employee entitlements do not accrue for this contracted position.
- All equipment (computer, phone, internet, etc.) is to be provided by the contractor including any transportation/travel costs.
