Jacobs Transportation Inc. is seeking an experienced Fleet Safety & Compliance Manager to oversee the safety, regulatory compliance, driver documentation, and related employee processes within our commercial trucking operation.
This is a management-level position focused primarily on trucking safety and compliance. The successful candidate will take ownership of our internal safety and compliance program, work closely with company management and operations, and ensure that drivers, equipment, documentation, and company procedures consistently meet regulatory and internal standards.
This position also supports certain human resources functions, particularly driver onboarding, employee documentation, policy administration, coaching, and disciplinary documentation. However, HR is a secondary component of this role. Commercial trucking safety and compliance experience is the primary background we are seeking.
We are looking for someone who is organized, confident, professional, and comfortable taking responsibility for the safety and compliance function within a busy trucking company.
Key ResponsibilitiesFleet Safety & Regulatory Compliance
- Oversee the company's trucking safety and compliance program.
- Maintain accurate and complete driver qualification and compliance files.
- Ensure driver licences, abstracts, medicals, training records, certificates, and required documentation remain current.
- Monitor compliance with CVOR, Hours of Service, ELD requirements, logbooks, commercial vehicle inspections, and applicable transportation regulations.
- Review driver logs, ELD records, roadside inspections, violations, tickets, and other compliance-related documentation.
- Monitor driver completion of pre-trip and post-trip inspection requirements.
- Follow up with drivers regarding missing paperwork, incomplete logs, inspection concerns, expired documents, or other compliance deficiencies.
- Track driver safety performance and identify recurring compliance concerns.
- Ensure corrective actions and follow-up requirements are completed and documented.
- Maintain organized records for regulatory audits, insurance requirements, customers, and internal reviews.
- Assist with CVOR monitoring and help ensure the company remains compliant with applicable commercial carrier requirements.
- Work with operations and maintenance personnel to ensure vehicle and trailer inspection and maintenance documentation is properly maintained.
- Identify compliance risks and recommend corrective measures to management.
Accident, Incident & Claims Management
- Oversee internal accident and incident reporting procedures.
- Review accidents, incidents, tickets, violations, and roadside inspection reports.
- Coordinate the collection of driver statements, photographs, telematics information, inspection documentation, and other supporting records.
- Work with management, drivers, insurance providers, and other involved parties following accidents or safety incidents.
- Maintain complete accident and incident files.
- Assist with internal investigations and determine required follow-up, coaching, retraining, or corrective action.
- Identify trends and recommend improvements to reduce future incidents.
Driver Coaching, Training & Accountability
- Lead and document driver safety coaching and compliance discussions.
- Prepare coaching records, corrective action documentation, warning letters, and follow-up requirements.
- Hold drivers accountable for company safety expectations, documentation requirements, inspections, log compliance, and reporting procedures.
- Coordinate safety meetings and driver training.
- Assist with developing or updating training materials and safety communications.
- Ensure safety expectations are clearly communicated and consistently applied.
- Support a strong safety culture based on education, accountability, documentation, and follow-through.
Policies, Procedures & Safety Program Development
- Develop, review, and update company safety policies and procedures.
- Maintain driver manuals, onboarding materials, compliance checklists, and standard operating procedures.
- Help establish consistent internal processes for safety documentation and follow-up.
- Review existing procedures and identify opportunities to strengthen compliance and reduce administrative gaps.
- Assist management with preparation for regulatory, insurance, and customer audits.
- Stay informed of changes that may affect commercial trucking compliance and company procedures.
Driver Recruitment & Onboarding
- Support recruitment and screening of commercial drivers.
- Assist with reviewing driver qualifications and compliance history.
- Coordinate required safety and compliance documentation for new drivers.
- Ensure required documentation is completed before drivers are placed into service.
- Conduct or coordinate driver safety orientation and onboarding.
- Review company safety expectations, reporting procedures, policies, paperwork requirements, and compliance standards with new drivers.
- Track probationary periods, required training, policy acknowledgements, and outstanding documentation.
Human Resources & Employee Documentation
Human resources responsibilities are a supporting component of this position and primarily relate to employee documentation, policy administration, and driver management.
Responsibilities may include:
- Prepare employment documents, offer letters, onboarding paperwork, and policy acknowledgements.
- Maintain organized and confidential employee files.
- Assist management with employee coaching and performance documentation.
- Prepare warning letters, corrective action records, and termination documentation when required.
- Track probation periods, employee training, policy acknowledgements, and required employment documentation.
- Assist with employee questions regarding company policies and internal procedures.
- Support management with employee relations documentation and internal communication.
- Help ensure company policies are applied consistently and professionally.
Management & Operational Support
- Work closely with company ownership, management, dispatch, accounting, maintenance personnel, and drivers.
- Act as a key internal resource for trucking safety and compliance matters.
- Provide management with updates regarding outstanding compliance issues, driver concerns, regulatory risks, and required follow-up.
- Prepare reports, letters, memos, safety documentation, and compliance records.
- Respond to customer, insurance, and regulatory compliance requests.
- Help improve internal systems, filing processes, tracking tools, checklists, and accountability procedures.
- Manage competing priorities and ensure important safety and compliance matters are followed through to completion.
- Maintain confidentiality and professionalism when handling sensitive company and employee information.
Required Qualifications
Applicants should have previous experience in commercial trucking, fleet safety, carrier compliance, or a closely related commercial vehicle environment.

Who We're Looking For
We are looking for someone who can take ownership of safety and compliance, not simply maintain paperwork.
The successful candidate will understand that a strong trucking safety program requires consistent documentation, driver accountability, follow-up, training, communication, and management involvement.
This position requires someone who is approachable and professional, while also being confident enough to address difficult issues, hold people accountable, and ensure safety standards are followed.
Someone with experience in a trucking company's safety department, fleet compliance department, carrier operations, or commercial driver compliance role would be particularly well suited to this position.
Applicants whose experience is primarily general Human Resources without commercial trucking safety or compliance experience may not be the right fit for this role.
Compensation
Compensation will be based on experience, qualifications, and overall suitability for the position.
Pay: $60,000.00-$80,000.00 per year
