We are looking for a highly organized, detail-oriented, and proactive Insurance Division Coordinator to join our Calgary office. This role is responsible for coordinating the day-to-day administrative and operational needs of our insurance division while supporting the sales and project teams and maintaining strong communication with insurance partners, clients, contractors, and internal departments.
The ideal candidate is a strong communicator who can manage multiple projects and deadlines, stay organized in a fast-paced environment, and ensure insurance-related work is properly documented, communicated, and progressing from initial claim coordination through project completion.
Position Overview
As the Insurance Division Coordinator, you will play a key role in supporting the successful coordination of insurance-related projects. You will work closely with insurance companies, adjusters, clients, contractors, sales representatives, and project coordinators to ensure projects are organized, properly documented, and moving forward efficiently.
This position requires excellent organizational and communication skills, strong attention to detail, and the ability to prioritize competing deadlines while maintaining a high level of professionalism.
Key Responsibilities
- Coordinate insurance-related projects from initial intake through completion, ensuring required information, documentation, and approvals are obtained and maintained.
- Act as a primary administrative point of contact between insurance companies, adjusters, clients, contractors, sales representatives, and project coordinators.
- Provide ongoing administrative and coordination support to the insurance division, sales team, and project management team.
- Track project status, outstanding documentation, approvals, estimates, invoices, and other insurance-related requirements.
- Communicate with insurance partners and adjusters regarding project updates, documentation, scheduling, and required information.
- Assist with preparing and submitting estimates, reports, work authorizations, invoices, photographs, and supporting documentation as required.
- Maintain accurate and organized project files, ensuring all relevant correspondence and documentation is properly recorded.
- Coordinate scheduling and assist with ensuring projects are progressing according to required timelines.
- Follow up on outstanding approvals, documentation, payments, and other items required to move projects forward.
- Assist with client communication and provide professional and timely responses to questions or requests.
- Support sales representatives and project coordinators with administrative tasks, document preparation, scheduling, and follow-up.
- Prepare reports, spreadsheets, presentations, and other business documents as required.
- Assist with general office administration, inventory, supplies, and other operational responsibilities.
- Identify administrative or coordination issues that may delay a project and proactively communicate them to the appropriate team members.
- Assist with special projects and other duties as required to support the insurance division and overall business operations.
Qualifications
- Previous experience in an administrative, coordination, project support, or insurance-related role.
- Insurance industry, restoration, construction, or claims experience is considered a strong asset.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Excellent written and verbal communication skills with a professional and customer-focused approach.
- Ability to communicate effectively with insurance adjusters, clients, contractors, and internal team members.
- Strong follow-up skills and the ability to manage multiple projects and deadlines simultaneously.
- Proficiency with Google Workspace, and other administrative software.
- Experience with QuickBooks Online is considered an asset.
- Comfortable learning and working with CRM, project management, and insurance-related software.
- Ability to work independently while also collaborating effectively with a larger team.
- Strong problem-solving skills and the ability to take initiative.
- Ability to remain organized and professional in a fast-paced and deadline-driven environment.
- Familiarity with insurance terminology, claims processes, estimates, and industry practices is an advantage.

Job Type: Full-time
Pay: $50,000.00-$55,000.00 per year
