The Opportunity
We are looking for a Project Manager to join our Team at CUPS.
· Location: Onsite, CUPS - 1001 10 Ave SW, Calgary
· Reports to: Director, Strategic Projects & Organizational Standards
· Contract type: Term, 2 year contract
· Schedule: Full-time, Mon to Fri, 37.5 hours per week

Under the supervision of the Director, Strategic Projects & Organizational Standards, the Project Manager will provide project expertise and guidance throughout each stage of a variety of strategic initiatives. While supporting assigned areas of CUPS strategic plan implementation, the project manager will work collaboratively with directors and managers, and cross functional project teams at CUPS. In addition to project management support, the project manager will be responsible for implementing change management strategies to facilitate engagement, learning, smooth transition and sustainability of projects implemented.
The successful candidate has a strong background in projects with high change management component, has outstanding communication and organization skills, and excels in meeting facilitation and stakeholder engagement. The ideal candidate will contribute to a culture of collaboration, dignity, accountability, and continuous learning while supporting a person centered and trauma informed understanding and approach to the work.
- Work closely with the CUPS Leadership Collaborative and actively engage with team members on the implementation of assigned initiatives within the CUPS Strategic Plan portfolio.
- Support the development and sustainment of a continuous improvement culture through effective project and change management practices aligned with CUPS strategic priorities and inclusive of all areas of the organization.
- Provide coaching to leaders and impacted partners on change and project management best practices, including effective communication strategies to support project success.
- Promote a culture that reflects CUPS purpose, ambition, and values.
- Support projects as assigned by assisting Project Sponsors and Project Leads in implementing and delivering successful projects that are completed within scope, timeline, and budget.
- Follow the CUPS Project Management Process and foster the use of project management tools, templates, and techniques to support effective project delivery.
- Apply a structured change management methodology and lead change management activities in collaboration with CUPS leadership.
- Develop and support stakeholder communication and engagement plans aligned with change management best practices.
- Organize, facilitate, and document project meetings, follow-up sessions, debriefs, and reflective learning discussions, including agenda development, project plan updates, and meeting minutes.
- Identify, monitor, and communicate to Director, Strategic Projects & Organizational Standards project risks, issues, and delivery challenges, and develop mitigation strategies in collaboration with project lead.
- Support Project Sponsors and Project Leads in the development of project and change plans.
- Monitor project implementation and provide regular status updates, documentation, and reporting to stakeholders, leadership, and project sponsors.
- Manage project documentation and ensure deliverables are stored and shared in appropriate locations.
- Lead the maintenance and administration of the Project Portfolio Dashboard, ensuring updates are completed on schedule, information is accurate and current, and dashboard reports are distributed through appropriate channels.
- In collaboration with the Director, support the development of new departmental performance metrics (VFI) to drive ongoing improvement and effectiveness.
- Oversee departmental processes related to VFI reporting, ensuring required data is collected in a timely manner and quarterly results are accurately documented and stored in designated repositories.
- Provide administrative support for departmental processes, including developing templates and mapping out processes, as well as coordinating, developing, and distributing the monthly Strategic Update newsletter.
- Identify and implement opportunities to improve project management, change management, and departmental processes, tools, and practices, including strategic dashboards and resource portal content.
- Support individual project execution, as required and as directed by the Director, Strategic Projects & Organizational Standards.
- Maintain ongoing communication with project teams and impacted stakeholders regarding project progress, outcomes, risks, and organizational change impacts.
- Ensure regular communication with the Director, Strategic Projects & Organizational Standards and the CUPS Leadership Team regarding project progress, risks, constraints, resource requirements, scope changes, and timeline impacts.
- Deliver the highest degree of professionalism in all interactions with internal and external stakeholders.
- Establish and maintain effective working relationships and collaborative arrangements with cross-departmental colleagues, community partners, board members, and consultants to advance the CUPS strategic vision.
- Share experience and knowledge with staff, students, volunteers, and guests interested in CUPS services to further strengthen CUPS social justice impact and external ambassador network, as required.
Employment Requirements
- Minimum of 5 years’ experience in project management activities
- Previous experience in a project coordinator or project manager role preferred
- Previous experience in leading projects with high change management aspect is an asset
- Post-secondary education degree/diploma/certificate in Business Administration, Project Management, or a relevant discipline
What You Bring
- The ideal candidate will have a PMP certification or is working towards that
- A Change Management Certificate from a recognized body is considered an advantage
- Exemplary communication, interpersonal and group facilitation skills, as well as a demonstrated ability to collaborate and cultivate productive relationships with a diverse range of key stakeholders
- Demonstrated ability to lead and engage cross-functional (non-direct report) teams and deliver results through influence without authority
- Excellent priority-setting skills with flexibility and adaptability to respond to shifting organizational needs
- High professional standards and strong customer experience mentality with an energetic, positive attitude to build partnerships and relationships
- Excellent proficiency with use of O365 suite, specially MS Excel
- Experience healthcare or social projects would be an asset
- Experience in the non-profit sector, specifically the homeless-serving system of care, would be an asset
Work Conditions
- In office role 4-5 days a week, with potential for 1 remote day based on business need and leader approval
- Extended periods of sitting and computer work required
- Exposure to distressing or traumatic stories/information regarding client-based work
- Work hours Mon-Fri, 8am to 4pm
