The Werklund School of Education is currently seeking a Regular Part-time Academic Support Administrator.
The Academic Support Office includes the Offices of Research, Internationalization, Teaching and Learning, Equity, Diversity & Inclusion, Indigenous Education and Experiential Learning that support Faculty members, Postdoctoral Scholars, Teaching Assistants, Sessional Instructors and students at Werklund School of Education.
The Academic Support Administrator will reports to Manager, Academic Support Offices.
Due to operational requirements, this AUPE position is part- time (0.5 FTE), 17.5hours per week, predominantly in-person and on-campus for 2.5 days per week. Standard work hours are 8:30 am - 4:30 pm.
Summary of Key Responsibilities (job functions include but are not limited to):

Drafting budget sections of grants, letters of support from Werklund Academic Support Office for grant proposals and match funding.

Maintaining updated versions of research related documentation and files.

Supporting Principal Investigators (PI's) with research-related forms.

Communicating with PI's about the internal deadlines, organizing and compiling the documentation; Liaising with RSO on deadlines and procedures etc.

Supporting faculty members and Academic Support office team members in completing and submitting the material for awards, grants, nominations, project extensions etc.

Providing reporting to various grant funding agencies.

Processing expense reimbursements and entries for large grants.

Assisting with overall organization for grants and compiling a wide variety of documentation.

Assisting with Tri-Council narrative CV writing.

Assisting faculty with new PGA (research management system), new Tri-Council portal and other UCalgary portals.

Attending Tri-Council and other grant agency's information webinars, as well as UCalgary research-related sessions.

Editing documents for clarity, accuracy, and consistency .
Qualifications / Requirements:
-
Completion of an undergraduate degree with 2-5 years of related experience in research environment, preferably in a post-graduate institute.

Must have established knowledge and skills about research portfolios, procedures, practices and project set-ups etc. at UCalgary through formal training or on-the-job experience.

High level proficiency with MS Office (Outlook, Word, Excel), PeopleSoft and D2L is required.

Uses acquired knowledge and experience to solve problems, support research, recognize, evaluate and select solutions from established options.

Experience working with expense claim reconciliation is an asset.

Must have excellent communication, organizational, and interpersonal skills.

This position requires a level of tact and diplomacy in dealing with sensitive and confidential materials and the ability to exercise some initiative and judgement in prioritizing work to meet requirements within the framework of the University of Calgary and Werklund School of Education policies and procedures.

Able to work effectively both independently with moderate degree of supervision and as part of a team. Understands how the assigned duties relate to others in the team and how the team integrates with other related teams.

Flexibility, tact, perseverance, initiative are all crucial to daily work and success in the role.

A high degree of accuracy, attention to detail, time management skills, and ability to prioritize are required to be successful in the role.

Must possess a high level of integrity and ability to maintain confidentiality.

Proven ability to work in an open-space environment that is complex, changing and at times stressful, is critical to the role.
