Job Summary

We are seeking an energetic and detail-oriented Administrative Assistant to support our Villas Office. In this vital role, you will handle a variety of clerical and administrative tasks to ensure smooth daily operations. Your organizational skills and customer service expertise will help create a welcoming environment for residents, visitors, and staff alike.

Duties

Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office, to maintain resident records and documents
Assist with filing, document proofreading, and organizing administrative files to ensure easy retrieval and compliance
Provide excellent customer support by addressing inquiries related to housing services and assisting residents with their needs
Coordinate appointments, schedule meetings, and maintain calendars for the Villas Office team
Handle clerical duties related to records and confidential files.
Comfortable providing information for programs and helping persons with language barriers

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with data entry, filing systems, and clerical tasks in a fast-paced environment
Excellent customer service skills with professional phone etiquette and the ability to manage multi-line phone systems effectively
Strong typing skills along with proofreading abilities to ensure accuracy in all documents
Previous administrative experience in housing management or seniors programs
Ability to handle sensitive information discreetly while maintaining a positive attitude
