Senior Proposal Coordinator
Reporting to the Buildings West Proposal Team Lead, the Senior Proposal Coordinator plays a key role in pursuing and securing some of Western Canada's most significant building projects. Working alongside Business Development, Preconstruction, Estimating, and Operations teams, this position leads the coordination, development, and delivery of strategic, compliant, and compelling proposals that support Bird's continued growth.
This role is ideal for an experienced proposal professional who thrives in a fast-paced environment, enjoys bringing together diverse teams, and can independently manage complex pursuits from opportunity identification through submission.
This position is based in Richmond, BC.
Partner with Bid Leads to coordinate the development, production, and submission of complex proposals, qualifications, and other pursuit deliverables.
Develop and oversee the proposal schedule, assignment matrices, compliance matrices, and submission requirements to ensure on-time delivery.
Support Bid Leads in planning and coordinating proposal kick-off meetings, pursuit planning sessions, reviews, debriefs, and lessons learned activities.
Partner with Business Development, Preconstruction, Estimating, Operations, and external partners to gather and develop proposal content.
Research clients, projects, competitors, and market opportunities to support pursuit strategies, win themes, and proposal messaging.
Draft, edit, and tailor proposal content, resumes, project descriptions, and other pursuit materials.
Support the development and coordination of client interview materials, presentation content, rehearsal sessions, and related pursuit deliverables.
Develop and maintain proposal templates, standardized content, project profiles, and content library resources.
Support the development of proposal graphics, organizational charts, project timelines, and other visual content.
Work collaboratively across the Buildings West proposal team to share knowledge, strengthen proposal practices, support team priorities, and contribute to continuous improvement initiatives.
Provide mentorship, guidance, and quality review support to Proposal Coordinators on proposal planning, compliance, document management, and best practices.
Undergraduate degree or diploma in communications, marketing, business, journalism, or a related field; an equivalent combination of education and experience will be considered.
5-7 years of progressive experience in proposal coordination, proposal development, business development support, or pursuit management, preferably within the construction, engineering, architecture, or professional services industry.
Strong understanding of proposal best practices, compliance requirements, evaluation criteria, and submission processes.
Advanced proficiency with Adobe Creative Cloud Suite, particularly InDesign, and Microsoft Office applications, including Word, PowerPoint, Excel, and Outlook.
Experience developing proposal graphics, organizational charts, presentation materials, and other visual communication assets is considered an asset.
Exceptional written, verbal, editing, and proofreading skills, with a strong attention to detail and commitment to quality.
Experience using artificial intelligence (AI) tools to support proposal development, research, content creation, or workflow efficiency is considered an asset.
