Reporting to the Supervisor, the Program Support Coordinator’s provides efficient administrative support relating to the delivery of education and training programs by utilizing established software applications, including learning management system(s), Microsoft Outlook, Excel, and Word. This role works independently and as a part of a team to coordinate a range of administrative, financial, purchasing, and clerical functions related to the educational activities and services delivered by BCEHS Learning by methods such as coordinating venues, catering and travel arrangements; collecting instructor/evaluator availability; preparing and drafting course/program and instructor/evaluator schedules and making changes as required.
What you’ll do
- Prepare and draft course/program schedule(s) for review, feedback and approval from the Paramedic Practice Educator(s). Make changes and update program/course schedule(s) as required. Set up and maintain education sessions in the learning management system for staff registration and close the course/program upon completion.
- Collect instructor/evaluator availability and prepare and draft instructor/evaluator schedules for review, feedback and approval from the Paramedic Practice Educator(s). Take follow up action as required, including re-assignments, maintaining and updating instructor/evaluator availability, and escalate as appropriate.
- Coordinate venues, catering, and travel arrangements for education and training programs by determining availability and cost and finalizing agreements related to all bookings within predetermined financial parameters. Track financial expenses for course delivery and identifying concerns to Supervisor and/or designated leader(s).
- Identify issues and challenges impacting course/program delivery, compile options, and provide recommendations to Supervisor and/or designated leader(s).
- Review and verify invoices and other financial documents, such as travel claims/vouchers/credit card purchases, and personal reimbursements, for accuracy and completeness (i.e. goods and services received signature; backup documents; correct rates, and prices and charges), and make changes as required. Code or check codes, obtain necessary signatures/approvals, and forward to the appropriate body for payment or reimbursement.
- Prepare and maintain course rosters and attendance data. Review and verify scheduling and timekeeping related to education for instructional staff and attendees for accuracy and completeness and send completed forms to timekeeping for processing.
- Prepare, organize, and distribute education course/program materials and itineraries. Purchase and maintain inventory levels for course/program materials and supplies, including submission to Finance for payment, and arrange equipment for the course/program.
- Produce program reports and reconcile and/or audit reports for finance, including course/program and travel expenses.
- Act as a point of contact for Learning by answering and tracking routine enquiries, trouble shooting enrollments and other related enquiries on educational programs within Learning. Monitor departmental centralized inboxes by utilizing Microsoft Outlook, respond and/or ensure items are assigned for follow-up, escalate as appropriate, and redirect as necessary.
- Produce documents for Learning, such as memos, correspondence, reports, presentations and related materials, graphics and spreadsheets, as required by using established software applications.
- Assist the Supervisor and designated leaders as directed with administrative support including:
- Logging, distributing and filing of training-related forms.
- Assisting in the updating and developing of online resources.
- Collecting, preparing and circulating meeting agendas and taking meeting minutes.
- Attend and participate in team meetings, including sharing information and providing input, feedback and recommendations into items such as changes to policies, procedures and processes. Take follow up action as required.
- Maintain the ARCS/ORCS records management system by identifying and classifying records, setting up proper filing, offsite storage, retrieval and disposal of records for the office.
- Maintain and update databases, contact lists, email distribution lists and phone lists.
- Perform other related duties as assigned.

Qualifications
- Grade 12 supplemented by accounting courses and three years’ recent, related experience or an equivalent combination of education, training and education.
- Ability to type 45 words per minute.
- Demonstrated knowledge of the historic and ongoing impacts of settler colonialism on Indigenous Peoples in social and health contexts, including supported by significant knowledge of Indigenous-specific mandates, including clear understanding of and commitment to eradicate Indigenous-specific racism and discrimination and embed Indigenous Cultural Safety and Humility.
- Demonstrate comprehensive knowledge of the historic and ongoing impacts of settler colonialism and systemic racism on Indigenous Peoples within social and health contexts. This includes understanding how these factors contribute to current health disparities and barriers to care. Show a clear commitment to identifying, challenging, and eradicating Indigenous-specific racism and all forms of discrimination impacting equity-deserving groups within health care settings. This involves familiarity and understanding Indigenous Cultural Safety and Humility recognizing personal biases, institutional barriers, engaging in anti-racism education and training and advocating for systemic change.
- Demonstrated knowledge and understanding of legislative obligations and provincial commitments within BCEHS contexts found in the foundational documents including Truth & Reconciliation Commission’s Calls to Action (2015), In Plain Sight (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP), Reclaiming Power and Place Missing and Murdered Indigenous Women & Girls Calls for Justice (2019), the Declaration Act Action Plan and Remembering Keegan: A First Nations Case Study - BC Human Rights Code, BC Anti-racism Act and how they intersect across the health care system.

- Brings an understanding of the Indigenous specific racism and the broader systemic racism that exists in the colonial health care structure, and has demonstrated initiatives in breaking down barriers and ensuring a safe environment ensuring a sense of belonging to all and informed by Indigenous Cultural Safety.
- Awareness of social, economic, political and historical realities of settler colonialism on Indigenous Peoples and familiarity with addressing Indigenous-specific anti-racism, anti-racism and Indigenous Cultural Safety and foundational documents and legislative commitments (the Declaration Act, the Declaration Action Plan, TRC, IPS, Remembering Keegan, etc.).
