Job Summary
We are seeking an energetic and detail-oriented Administrative, Reception, and Recruitment Assistant to join our dynamic team. This paid position offers an exciting opportunity to support daily office operations, manage front desk responsibilities, assist with recruitment processes, and ensure smooth communication across departments. The ideal candidate will demonstrate excellent organizational skills, strong computer proficiency, and a friendly customer service approach to foster a welcoming environment for visitors and staff alike.

Duties

Greet visitors and manage front desk operations with professionalism and warmth
Answer multi-line phone systems promptly, directing calls efficiently and courteously
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
Maintain organized filing systems both digitally and physically to ensure easy document retrieval
Assist in recruitment activities by scheduling interviews, coordinating candidate communications, and supporting onboarding processes
Provide exceptional customer support to clients, vendors, and internal teams through effective communication and problem-solving
Support clerical duties such as proofreading documents, managing calendars, and handling correspondence

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience with QuickBooks or similar bookkeeping software is highly desirable
Excellent data entry skills with high accuracy and typing speed
Strong customer service skills with professional phone etiquette and a friendly demeanor
Previous clerical or administrative experience in medical or dental offices is a plus
Ability to handle multiple tasks efficiently in a fast-paced environment
Knowledge of front desk procedures, filing systems, and multi-line phone systems
Basic proofreading skills to ensure clear communication
