Position Overview
The Senior Property Manager is responsible for the overall care, organization, maintenance, and operation of a portfolio of high-end residential and recreational properties throughout Muskoka.
This is a senior, hands-on leadership position. The Property Manager acts as the primary point of contact for assigned clients and is responsible for ensuring their properties are maintained to a consistently high standard.
The successful candidate will combine strong property knowledge with exceptional organization, communication, leadership, and problem-solving skills. They must be comfortable managing employees, contractors, projects, schedules, budgets, and client expectations while also being willing to step in and help solve problems in the field when required.
The objective is simple: know the properties, anticipate problems, get things done, and make property ownership easy for our clients.
Key Responsibilities
Property Management & Oversight
- Manage a portfolio of Canopy client properties.
- Develop a detailed understanding of each property's buildings, mechanical systems, docks, landscaping, equipment, access, seasonal requirements, and client preferences.
- Conduct regular property inspections and identify maintenance requirements before they become larger problems.
- Coordinate preventative maintenance programs.
- Maintain accurate property records, service histories, equipment information, warranties, manuals, and vendor contacts.
- Oversee seasonal openings and closings.
- Ensure properties are properly prepared for owner arrivals and special events.
- Follow up on deficiencies and ensure work is completed properly.
Client Management
- You are the Primary Canopy contact for assigned clients.
- Build strong, professional relationships based on trust, responsiveness, and attention to detail.
- Provide clients with clear updates regarding their properties, projects, maintenance requirements, and outstanding decisions.
- Anticipate client needs rather than waiting for problems to arise.
- Coordinate client requests from initial communication through completion.
- Maintain appropriate discretion and confidentiality when working with clients and their properties.
Staff & Operations
- Direct and coordinate Canopy employees working at assigned properties.
- Prepare clear scopes of work and daily/weekly priorities.
- Ensure employees understand the required standard before beginning work.
- Inspect completed work and hold the team accountable for quality.
- Help develop junior employees and improve their knowledge of property maintenance.
- Coordinate labour, equipment, vehicles, materials, and scheduling efficiently.
- Communicate operational issues to management before they affect clients.
Contractor & Vendor Management
- Coordinate electricians, plumbers, HVAC contractors, landscapers, dock companies, cleaners, pest control, septic contractors, arborists, and other service providers.
- Obtain quotes and help evaluate contractors when required.
- Schedule contractors and arrange property access.
- Clearly communicate the required scope of work.
- Monitor work while it is underway.
- Verify that work has been completed properly before considering a project finished.
- Track outstanding deficiencies, invoices, warranties, and follow-up work.
Projects
Manage smaller property projects and assist ownership with larger projects, including:
- Repairs and renovations
- Dock and waterfront work
- Landscaping improvements
- Painting and staining
- Carpentry
- Mechanical upgrades
- Property improvements
- Equipment installation
- Seasonal projects
The Senior Property Manager is responsible for keeping projects organized, communicating progress, identifying issues, and driving work through to completion.
Property Systems Knowledge
The ideal candidate should have practical knowledge of residential and cottage systems, including:
- Plumbing and water systems
- Wells and water treatment
- Septic systems
- Electrical systems
- Generators
- HVAC
- Pumps
- Irrigation
- Docks and waterfront infrastructure
- Boats and basic marine equipment
- Landscaping and property maintenance
- Snow and winter property management
- Basic carpentry and building maintenance
The Property Manager is not expected to be a licensed tradesperson, but must be able to recognize problems, troubleshoot basic issues, know when a professional trade is required, and effectively manage that trade.
Emergency Response
- Respond to urgent property issues when required.
- Assess situations quickly and determine the appropriate response.
- Coordinate emergency contractors and Canopy personnel.
- Protect the property from further damage.
- Keep clients and management informed.
- Follow through until the issue is completely resolved.
Examples may include water leaks, power failures, generator issues, storm damage, fallen trees, heating failures, alarms, access issues, or other property emergencies.
Administrative Responsibilities
- Maintain accurate notes and documentation for assigned properties.
- Document work completed by Canopy employees and outside contractors.
- Review employee time and job information for accuracy.
- Assist with reviewing contractor invoices and project costs.
- Track upcoming maintenance and recurring service requirements.
- Maintain property-specific task lists and seasonal calendars.
- Provide management with information required for accurate client billing.
- Use Canopy's property management, scheduling, communication, and documentation systems consistently.
Leadership Expectations
This is a senior position within Canopy.
The Senior Property Manager is expected to:

Qualifications
The ideal candidate will have:
- Experience in property management, construction, facilities management, landscaping, cottage maintenance, trades, or a related field.
- Strong practical knowledge of residential property systems.
- Experience managing employees and contractors.
- Strong organizational and scheduling abilities.
- Excellent written and verbal communication skills.
- Strong troubleshooting and problem-solving ability.
- Ability to manage multiple properties and projects simultaneously.
- Comfortable using smartphones, email, scheduling software, photos, and digital documentation.
- Valid driver's licence and clean driving record.
- Ability to work independently and make decisions in the field.
- Willingness to occasionally respond outside normal working hours when genuine property emergencies occur.

A successful Senior Property Manager develops complete ownership over their portfolio.
Clients trust that Canopy knows what is happening at their property. Maintenance is planned instead of reactive. Contractors know what they are supposed to accomplish. Employees arrive with clear direction. Projects continue moving forward. Documentation is current. Problems are communicated early.
Most importantly, the client should not have to manage the manager.
The Senior Property Manager's role is to remove work, worry, and complexity from owning a property in Muskoka while protecting and maintaining some of our clients' most valuable assets.
Pay: From $80,000.00 per year
