Medical Receptionist re-advertised (due to unforseen circumstances by current RPN)

Hours: Mon and Thu assisting in Reception area 8.30 or 09.00 AM to 12.30 or 13.00 PM
Tue and Wed 9 AM until 5 PM , with a unpaid lunch break of 30 mins between 12.30-1 PM
Total hours: 23 hours with prospects of adding atleast 2 extra hours when needed
Annual leave (Pro-rota based on F/T 36 hours per week) plus Bank holidays-ON when Clinic will be closed.
Pay: TBC after interview, based on related experience.
Job Overview
We are seeking a knowledgeable and initiative- RPN/ Medical Receptionist professional to join our expanding team of one Senior Medical Administrator . The ideal candidate will provide administrative and technical assistance, ensuring that registered patients are booked to see the family physician and providing support with electronic referrals, dealing with correspondence from hospitals and blood tests results. This role is critical in maintaining the smooth operation of our office technology, including phone systems and electronic medical records. The successful applicant will have experience in preferably a medical clinic environment, with familiarity in communicating with patients and with software such as Electronic Medical Records.
Duties

Your job responsibilities include the following:
- Assess patient’s health needs, discuss test results and respond to questions pertaining to health promotion and disease prevention- lifestyle and Smoking & Alcohol advice. Triage patients and book appointments, complete referrals and deal with hospital correspondence when the current medical administrator is on leave.
- Recording consultations and clear & specific management plans on the Electronic Medical Record (EMR) of the patient visit. Record patient vitals and prepare patient and room for examination. Maintain accurate, concise and confidential EMR documentation pertaining to patient history and encounter data.
- Organising recalls for patients for health promotion and disease prevention follow-up such as Long-Term Conditions (Diabetes, Heart Failure, Mental health, Palliative & Cancer care, Asthma/COPD, Pre and Post natal, Child development), Immunizations, PAP smears (will be an advantage), Mammograms, FOB testing and Bone Density scans.
- Experience with well women/baby visits, patient triage is needed.
- Administer and record immunization, check contraindications and educate patients of possible side effects.
- Complete private insurance and other administrative forms.
- Participate in monthly team meetings & clinical supervision.
Key Qualifications and Education Requirements
- Current certificate of Registration from the College of Nurses of Ontario (RPN).
- Excellent patient assessment and triaging skills.
- Knowledge of Immunization guidelines in Ontario.
- Knowledge of and working experience with EMR systems and applications.
- Excellent verbal and written communication skills.
- Ability to work collaboratively as a member of multi-disciplinary team with flexibility.
- At least 1 year of Primary Care Experience.
- Clean Police record and Good Standing from their previous employer and the CNO
Receptionist duties
- Answer phone calls and direct callers.
- Aid patients and health care professionals when they call and arrive at the clinic.
- Schedule appointments based on doctor availability.
- Call patients to remind them of upcoming appointments, recalls for chronic disease management
- Complete electronic referrals, task on site Doctor in charge: pathology laboratory results and secondary care correspondence from hospitals, other health care and government organisations and private insurance companies.
- Completing support letters and other administrative paperwork as needed.
Qualifications
- Familiarity with medical terminology preferred.
- Experience with electronic medical records-EMR/PS Suites Telus systems preferred.
- Proven experience in a Family Physician Clinic or similar preferred.
- Strong understanding of phone systems and front desk operations.
- Excellent critical thinking skills and diligence.
- Ability to communicate technical information clearly to non-technical users.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- An initiative-taking approach to identifying issues before they become problems.
- Fluent in spoken and written English.
