As our organization continues to grow, we are looking for an experienced Executive Assistant to become a trusted partner to our CEO and a key support to our Board of Directors.
About the Role
This is more than a traditional Executive Assistant position.
We are looking for someone who enjoys creating order, keeping priorities moving, and helping leaders stay focused on what matters most. You will work closely with the CEO, helping manage competing priorities, coordinating key initiatives, and ensuring important commitments don't fall through the cracks.
You will also play an important role in supporting our Board of Directors by coordinating meetings, preparing materials, maintaining governance records, and ensuring Board activities run smoothly and professionally.
The ideal candidate is proactive, highly organized, resourceful, and comfortable taking ownership. They anticipate needs, follow up on commitments, keep priorities on track, and enjoy being the person others rely on to help things move forward.

Key Responsibilities - Executive Support
- Manage the day-to-day operations of the CEO's office.
- Coordinate calendars, meetings, travel, correspondence, reports, presentations, and special projects.
- Track priorities, commitments, and follow-up activities.
- Act as a key point of coordination between the CEO and internal and external stakeholders.
Board & Governance Support
- Coordinate Board and committee meetings.
- Prepare agendas, Board packages, minutes, and action item tracking.
- Support Board recruitment, onboarding, orientation, and AGM activities.
- Maintain governance records and documentation.
Leadership & Organizational Support
- Coordinate leadership meetings, agendas, minutes, and reporting activities.
- Assist with special projects and organizational initiatives.
- Support office operations, vendors, and confidential organizational matters.
Event Coordination
- Coordinate conferences, sponsorship activities, webinars, and member engagement events.
Qualifications & Experience
- Minimum 5 years of experience supporting senior executives, leadership teams, or Boards of Directors.
- Experience supporting Board or committee activities, including meeting coordination, agendas, minutes, Board materials, or governance-related processes.
- You do not need to be a governance expert, but you should be comfortable working with Board members and supporting Board activities with confidence and professionalism.
- Exceptional organizational, communication, and time management skills.
- Strong proficiency with Microsoft Office Suite.
- Experience with Board management software is considered an asset.

Compensation & Work Environment
- Competitive salary based on experience
