As part of this commitment, we are seeking an Executive Assistant to the Chief Administrative & Financial Officer (CAFO) to provide high-level administrative and coordination support across a broad and complex portfolio.
Executive Assistant to the Chief Administrative and Financial Officer
The CAFO's portfolio, Enterprise Business Services, spans finance, people, technology, risk, registrant service delivery, and several other enterprise functions. Reporting to the CAFO, the Executive Assistant keeps a high volume of competing priorities and inbound requests organized across these functions and supports committee and meeting preparation as needed. Because the CAFO's work regularly feeds into Council and governance reporting, the role also calls for a working understanding of how those processes fit together. The Executive Assistant acts as a trusted partner, providing the consistency and follow-through that allows the CAFO to focus on the portfolio's strategic and executive priorities.
What You Will Do
Management of CAFO’s Inbox, Actions & Calendar
- Analyze, prioritize, triage, distribute and respond to incoming correspondence for the CAFO, ensuring timely, professional handling across a high volume, multi-function environment.
- Manage the CAFO's calendar and action list, proactively resolving conflicts and balancing competing demands across portfolio functions.
- Anticipate needs and adjust meetings, timelines and priorities in response to changing conditions and shifting demands.
- Maintain awareness of the CAFO's committee and Council obligations and reflect these in calendar planning.
Enterprise Services & Portfolio Coordination
- Support the CAFO on portfolio, program and project communications, drafting correspondence, briefing notes, reports and presentations as required.
- Coordinate cross-functional activities, initiatives and priorities across Enterprise Business Services, tracking timelines, deliverables and follow-through on behalf of the CAFO.
- Surface risks, delays and interdependencies across the portfolio, resolving issues proactively and providing early warning where required.
- Prepare and route administrative documents including expense claims, timesheets, signed contracts and correspondence accurately and on schedule.
- Coordinate travel and itineraries for the CAFO and portfolio team members, ensuring accuracy, cost-effectiveness and compliance with organizational requirements.
Committee Support & External Liaison
- Facilitate end-to-end meeting coordination within the CAFO's portfolio, including committee and governance committees when appropriate, covering agendas, materials, minutes and action tracking.
- Prepare and distribute agendas, meeting packages, presentations, speaking notes and minutes for the Finance & Audit Committee, Pension Compliance Committee and Operations Committee within established timelines.
- Coordinate communication with external partners including auditors, pension advisors, actuaries, investment managers and regulatory contacts on behalf of the CAFO.
- Understand how the CAFO's portfolio feeds into governance and Council-level reporting, ensuring materials and information flow support that connection.
Records, Administration & Continuous Improvement
- Maintain organized and accessible document libraries across the portfolio, with version control, retention schedules and secure access to meet governance, regulatory and audit requirements.
- Maintain SOPs and templates for recurring administrative processes, ensuring they remain current and consistently applied across the CAFO's office.
- Identify opportunities to streamline administrative and operational processes across a large, integrated portfolio, clarifying ownership and preventing duplication of work.
What You Possess
Education:
Two-year post-secondary diploma or certificate in administration, business or a related field.
Experience:
Minimum 7 years of related and progressive experience in executive support or senior administrative roles, ideally supporting an executive with a large, multi-function portfolio.
Skills & Competencies:
- Portfolio Coordination: Comfortable managing a high volume of competing pulls across finance, people, technology, risk, planning and other functions, and keeping a busy executive organized amid constant change.
- Executive Coordination: Strong calendar management, inbox triage, action tracking and priority setting with the ability to anticipate needs and resolve conflicts.
- Governance Awareness: Working understanding of how the CAFO's portfolio feeds into governance and Council-level reporting, ensuring materials and information flow support that connection.
- Communication and Collaboration: Excellent written and verbal communication skills with tact, diplomacy and relationship-building ability across internal teams and external partners.
- Confidentiality: Handles sensitive financial, HR, pension and governance information with discretion and sound judgment.
- Records and Financial Administration: Experience with document and records management, expense tracking, contracts and budget monitoring to audit standards.
- Meeting and Committee Support: Skilled in full-cycle meeting coordination including agendas, materials, minutes and action follow-up.
- Technical Proficiency: Proficient with MS 365 (Teams, SharePoint, Outlook, Word, Excel, PowerPoint), Adobe Acrobat and accounting software (SAGE or similar).
- Adaptability and Judgment: Navigates shifting priorities across a large portfolio, exercises sound judgment and maintains composure under time pressure.
- Self-Starter and Initiative: Independent thinker who resolves issues proactively, clarifies ownership, prevents duplication of work and seeks solutions on behalf of the CAFO.
