OVERVIEW:
The Project Coordinator is a key member of the Project Services team, supporting Project Managers, Site Superintendents, and the Estimating team in the delivery of multiple concurrent construction projects. The role assists with project documentation, RFIs, submittals, scheduling, procurement, and coordination with consultants, subcontractors, and suppliers throughout both preconstruction and construction phases.
This position requires a strong understanding of construction assemblies, building systems, and construction processes to support technical coordination and identify constructability considerations. Experience with institutional, educational, public sector, design-build, modular, or prefabricated construction projects is considered an asset.
This position reports to the Director of Construction and works closely with Project Managers, Site Superintendents, Estimating, and Project Administration. Day-to-day project assignments and priorities are coordinated through the assigned Project Manager.
RESPONSIBILITIES:
Preconstruction and Estimating Support:
- Assist the estimating team in the preparation of cost estimates and bid packages
- Assist the project team with producing project schedules.
- Collaborate with subcontractors and suppliers to obtain pricing.
- Review and analyze subcontractor bids for accuracy and completeness.
- Participate in bid reviews and preparing presentations for clients and internal stakeholders.
- Engage with architects, engineers, and other technical consultants to ensure project design aligns with budget and schedule constraints.
- Prepare and review technical documents, including scopes of work, project plans, and specifications.
- Assist in value engineering efforts to optimize project costs without compromising quality.
- Support the permitting process by preparing and submitting required documentation.
- Serve as a liaison between project teams, subcontractors, and clients to ensure clear communication of technical requirements and project expectations.
Construction Phase Support:
- Assist the Project Manager and site team with the coordination of day-to-day construction activities, helping ensure work is progressing in accordance with the contract documents, schedule, and project requirements.
- Review drawings, specifications, and consultant instructions to support the preparation and tracking of RFIs, submittals, and change management documentation.
- Assist with procurement activities including preparing purchase orders, tracking long lead items, monitoring material deliveries, and coordinating with suppliers.
- Assist in coordinating and tracking consultant responses, shop drawing reviews, and technical clarifications to support timely decision making on site.
- Support project documentation including meeting minutes, site instructions, change orders, and construction notices, ensuring records are accurate and up to date.
- Help identify potential constructability, coordination, or scope issues through drawing reviews and discussions with the project team.
- Assist with project schedule updates, procurement tracking, and coordination of trades, suppliers, and consultants as required.
- Support the preparation and review of progress reports, site documentation, and turnover materials including O&M manuals and closeout documentation.
Administrative Support:
- Assist in providing general administrative support to the project team, including scheduling meetings, preparing agendas, and recording meeting minutes.
- Assist in the preparation of project reports and presentations for internal and external stakeholders.
- Manage project documentation and ensure proper filing, organization, and archiving in accordance with company procedures.
Other:
- Perform other duties as required to support the successful planning, coordination, and execution of construction projects.
- Assist with project cost tracking, progress claims, change orders, and budget reporting.
REQUIREMENTS:
- Minimum 5 years of Canadian construction experience in a Project Coordinator, Field Coordinator, Estimator, Site Coordinator, or similar role.
- Post secondary technical education in a construction related program such as construction management, building technology, engineering, or a related field. Strong technical understanding of construction processes, materials, and methods.
- Experience with innovative construction methods or Pre-fabrication is an asset.
- Familiarity with relevant British Columbia building codes, regulations, and industry standards.
- Proficient with Microsoft Office Suite, MS Project, Bluebeam and Procore
- Experience with design-build and/or pre-construction services considered an asset.
- Familiarity with Building Information Modelling (BIM) and related technologies is an asset.
- Valid driver's licence and ability to travel to project sites as required.
