As an Administrative Assistant your responsibilities will include:

General administrative duties including, but not limited to: reception, filing, photocopying, scanning, faxing and mailing
Working independently and within a team environment to support the client service staff to produce high quality client deliverables
Proficient in Microsoft 365 suite in order to review and assemble financial statements, tax returns, correspondence, proposals and presentations in accordance with firm standards and branding
Preparation of letters and reports using firm templates in compliance with Firm standards
Proof-read, review for quality and verify content before finalizing any client deliverables
Scan documents and embed in electronic file
Welcome clients by greeting them, in person or on the telephone; answering or referring inquiries
Participate in training and stay current with company software
Provide billing support using various Doane Grant Thornton systems and in accordance with the terms of the engagement letter
Organize information and maintain D365 (CRM database) for marketing purposes using our contact relationship management software
Coordinating internal/external meetings, room bookings, meals/catering and events, video conferences
General administrative duties including, but not limited to: reception, filing, photocopying, scanning, faxing and mailing

Think you’ve got what it takes to be an Administrative Assistant? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:

Significant work experience demonstrating use of Microsoft 365 (particularity Outlook, Word, Excel and Teams)
2 to 4 years of administrative experience
Excellent data entry skills and high attention to detail with an aptitude for proofreading and suggesting alternatives
Excellent written and verbal communication skills
Ability to multi-task and prioritize
Exceptional client service mindset
Computer savvy – ability to learn and troubleshoot various computer programs
Talent to handle multiple tasks and shifting priorities while maintaining a high level of accuracy
Takes initiative, takes direction and works well independently
Keen attention to detail, efficient and accurate
