About the Role
As our Event Logistics Specialist, you'll be the person making sure every client, speaker, and event experience feels seamless.
You'll manage logistics, coordinate communications, maintain our CRM, improve internal processes, and help ensure every detail is thoughtfully handled from confirmation through post-event follow-up.
You'll work closely with our CEO and become an essential part of a small, collaborative team that values kindness, accountability, initiative, and exceptional client care.
What You'll Be Doing
Client & Speaker Logistics
- Coordinate all logistics for confirmed speaker engagements
- Prepare detailed Speaker Briefings including event objectives, travel details, AV requirements, and timelines
- Schedule and participate in pre-event planning calls
- Manage speaker assets including biographies, headshots, introductions, presentations, and scripts
- Collect post-event feedback and support follow-up communications and thank-you notes
CRM & Operations
- Maintain accurate event, client, and speaker information within Microsoft Dynamics 365
- Ensure data consistency across CRM, shared files, and digital systems
- Support ongoing improvements to workflows, automation, and operational processes
- Collaborate with our Microsoft Dynamics consultant to continually refine our systems
Client Experience & Process Improvement
- Support the ongoing refinement of LimeLight's client and speaker journey
- Update and improve internal playbooks, templates, workflows, and checklists
- Integrate Talkadot feedback into every engagement

Working Arrangement
- Ongoing part-time contract
- Average 15–20 hours per week, with flexibility around event schedules
- Remote work from your professional home office, with some on-site event attendance required.
- Reliable high-speed internet and quality video conferencing setup required
- Compensation: $30-35/hour based on experience
- Hours tracked using Clockify and submitted by invoice
