Reporting directly to the Manager, Payroll Data and Systems, the Coordinator is the first point of contact on all payroll inquiries from internal and external clients. Providing a high level of customer service and applying knowledge of payroll-related legislation, college policy, and established processes and procedures to ensure employees and other payees are paid in a compliant, accurate, and timely manner. The scope and nature of payroll in the college environment are extensive and varied and require a broad understanding of various employment scenarios, earnings types, taxation requirements, and the ability to apply professional expertise and judgment.
What You’ll Be Doing
Employee Data & Records Management
- Maintaining employee payroll records and electronic personnel files in accordance with college records management policies;
- Processing employee onboarding documentation, biographical information, banking changes, tax forms and other payroll-related employee data in PeopleSoft;
- Performing payroll compliance audits related to employee information, including SIN validation, work authorization documentation, tax forms and other payroll-related data;
Payroll Processing & Administration
- Collecting, consolidating, auditing and uploading payroll transactions to PeopleSoft HCM, including PT employee hours, FT supplemental earnings and leaves of absence;
- Identifying, investigating and correcting payroll variances to ensure accurate processing and successful system uploads;
- Assisting with bi-weekly payroll processing activities while adhering to strict deadlines and established procedures;
- Ensuring overtime and other payroll payments are paid in accordance with Employment Standards legislation, collective agreement and college policies;
- Supporting the Payroll Specialists with payroll-related responsibilities during peak periods and as operational needs require;
Payroll Auditing, Reporting & Compliance
- Performing payroll audits, data integrity checks, reconciliations, and reporting activities using advanced Excel functions (e.g., VLOOKUP, Pivot Tables, formulas and automated spreadsheets) to identify and resolve discrepancies;
- Assisting with year-end payroll activities, including audits, reporting requirements, and responding to T4 and T4A inquiries;
- Performing payroll compliance audits related to employee information, including SIN validation, work authorization documentation, tax forms, and other payroll-related data;
Payroll Service & Inquiry Management
- Responding to payroll, leave and Record of Employment (ROE) inquiries from employees, departments, Service Canada and other external agencies;
- Preparing and submitting Records of Employment (ROE) using Service Canada’s ROE WEB application;
- Maintaining payroll documentation, records and supporting materials to ensure accurate audit trails and compliance requirements are met;
- Performing other related duties as assigned.

The successful candidate will also meet the following qualifications:
- 2-year diploma in Accounting, Finance, Human Resources or related field.
- Minimum of 2 years of experience working in Payroll or related field with exposure to large business information systems (i.e. PeopleSoft).
- Payroll Compliance Practitioner (PCP) designation from the Canadian Payroll Association (or working towards the designation).
- Proficient in Microsoft Office Suite including Word, Excel, and Outlook, and have advanced Excel skills (including experience using Macros).
- Experience with accounting principles, mathematical calculations, and general ledger distributions will also be considered an asset.
