About the Role
In this newly created role, you will own the entire journey from creative request to real-world execution. Every marketing or branding need across the company, whether it’s a new site signage package, on-site brand rollout, business cards, merchandise, event graphics, or collateral, starts and ends with you. You intake and prioritize requests, build clear timelines in Asana, keep involved parties aligned and on schedule, and then personally drive the sourcing, procurement, production, delivery, and installation of the physical brand assets.
This is a cohesive role that naturally combines workflow ownership with hands-on brand production, requiring a collaborative, relationship-focused individual who can align teams, coordinate moving pieces, and help turn ideas into successful real-world outcomes
Key Responsibilities
Project Coordination & Intake
- Act as the central gatekeeper and intake point for all marketing, branding, and creative asset requests across the company.
- Triage, clarify, and prioritize incoming requests.
- Build, maintain, and own all marketing/creative projects in Asana (boards, timelines, tasks, dependencies, assignees, due dates).
- Run a weekly Design and Communication meeting.
- Proactively check in with team members and external partners to keep every project on schedule.
- Send regular status updates and flag slipping timelines early.
- Continuously improve workflows, templates, and processes as needed.
Brand Production & Execution
- Take approved creative concepts from the design team and bring them to life in the physical world.
- Create BMI’s first formal brand procurement playbook (approved vendors, pricing benchmarks, workflows, quality/sustainability standards).
- Source, quote, negotiate, and manage vendors for signage, wayfinding, paint applications, decals, interior branding elements, print collateral, business cards, merchandise, event materials, etc.
- Handle purchase orders, proof approvals, production scheduling, shipping logistics, delivery, and installation coordination.
- Conduct site visits when required to ensure flawless execution and troubleshoot on the spot.
- Coordinate closely with site operations and construction teams for seamless installation.
- Track budgets and report actuals vs. estimates for every rollout.
Qualifications
- 3–5+ years in creative project coordination, traffic management, brand production, or print/signage procurement.
- Proven experience owning a project management tool (Asana preferred)
- Comfortable being the “central hub”; you love organizing requests, gently reminding people, and keeping everything moving.
- Hands-on vendor management experience with signage, environmental graphics, print production, merchandise, and promotional items.
- Highly organized, proactive, and calm under deadline pressure.
- Excellent communication, you’ll translate between creative, operations, and leadership daily.
- Willing to visit job sites when needed

Pay: $65,000.00-$75,000.00 per year
