Overview
We are seeking a highly organized and proactive Executive Assistant to support the President of our organization. This role requires a professional with strong administrative skills, excellent communication abilities, and proficiency in various office software. The ideal candidate will manage complex schedules, handle correspondence, and provide exceptional clerical support to ensure smooth daily operations. Prior office experience and familiarity with bookkeeping and customer service are highly valued.

Responsibilities

Manage and maintain the President’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
Handle incoming calls with professional phone etiquette, directing inquiries appropriately via multi-line phone systems and front desk responsibilities.
Prepare, proofread, and organize documents using Microsoft Office applications, including Word and Excel; assist with data entry and filing systems.
Perform bookkeeping tasks utilizing QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
Coordinate correspondence through email platforms such as DocuSign for document signing processes.
Provide exceptional customer service to internal staff and external clients, ensuring timely responses and professional interactions.
Assist with administrative projects, including proofreading reports, organizing files, and supporting event planning as needed.
Maintain confidentiality of sensitive information while managing multiple priorities efficiently.

Qualifications

Proven experience in an administrative or clerical role; office experience preferred.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, Microsoft Outlook Calendar, and familiarity with DocuSign.
Experience with QuickBooks and basic bookkeeping is a plus.
Excellent typing speed and data entry skills for efficient document processing.
Exceptional phone etiquette and customer service skills for front desk duties.
Attention to detail in proofreading documents and managing files accurately.
Ability to handle multiple responsibilities with professionalism and discretion. This position offers an engaging work environment where organizational excellence is valued, supporting the leadership team to achieve strategic goals efficiently.

Pay: $60,000.00-$80,000.00 per year
