ROLE SUMMARY
The Quotation & Project Coordinator is a key member of the Liteline sales support team, responsible for managing the complete quotation lifecycle and providing end-to-end coordination for lighting specification projects. Working closely with the sales team, agents, specifiers, and internal departments, this role ensures that quotations are prepared accurately and promptly, project submittals are tracked and fulfilled, and customers receive a seamless experience from project inception through order placement.
KEY RESPONSIBILITIES
Quotation Management
- Prepare detailed, accurate quotations for commercial and specification-grade lighting projects based on project drawings, schedules, and specifications.
- Interpret electrical drawings, reflected ceiling plans, and luminaire schedules to identify products and quantities.
- Apply correct pricing, discount structures, and customer-specific pricing agreements in accordance with Liteline's pricing guidelines.
- Review quotations for accuracy, completeness, and alignment with project specifications before release.
- Manage quotation revisions and addenda as project scope evolves.
- Respond to pricing and product enquiries from agents, distributors, and specifiers within defined turnaround times.
Project Coordination
- Track active specification projects from initial quotation through order conversion, maintaining accurate project status records in CRM and ERP systems.
- Coordinate product submittals, photometric data, and product literature required for project approval with consultants and specifying engineers.
- Liaise with the engineering, product management, and customer service teams to resolve project-specific product requirements or substitution requests.
- Follow up on outstanding quotations and coordinate with the sales team on project pursuit strategy.
- Manage project documentation including submittals, shop drawings, cut sheets, and approval records.
Customer & Agent Support
- Serve as a primary point of contact for agents and distributors requiring quotation support.
- Communicate lead times, product availability, and order status to relevant stakeholders.
- Assist with the preparation of bid packages, tender submissions, and value-engineering exercises.
- Support the outside sales team with account-specific reporting and project pipeline summaries.
Systems & Reporting
- Maintain accurate and up-to-date project and customer data in CRM (Salesforce or equivalent).
- Generate regular reports on quotation activity, conversion rates, and project pipeline for sales management review.
- Contribute to process improvement initiatives within the quotation and project coordination function.
QUALIFICATIONS
Education & Experience
- Diploma or degree in Business Administration, Architecture, Engineering Technology, Interior Design, or a related field — or equivalent work experience.
- Minimum 2–3 years of experience in a quotation, project coordination, or technical sales support role, preferably in the lighting, electrical, or construction industry.
- Familiarity with commercial lighting products, systems, and terminology is a strong asset.
Skills & Competencies
- Strong ability to read and interpret construction drawings, reflected ceiling plans, and electrical specifications.
- Excellent attention to detail with strong numerical and analytical skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP and CRM systems an asset.
- Exceptional organisational skills with the ability to manage multiple projects and deadlines simultaneously.
- Clear and professional written and verbal communication skills.
- Collaborative team player who can also work independently with minimal supervision.
- Bilingual (English/French) is an asset.
