Job Summary
We are seeking a detail-oriented and organized Bookkeeper to join our team at Tall Ships Landing Costal Resort, a division of Metcalfe Realty Company Limited. The ideal candidate will be responsible for providing financial, administrative and accounts payable support to the organization. This role requires proficiency in various accounting software and a strong understanding of bookkeeping principles to support the company’s financial health and compliance.
Key Responsibilities - AP
- Pay vendors by processing and scheduling cheque runs
- Track all payments and expenditures including purchase orders, invoices and statements using accounting software (QuickBooks, Yardi)
- Code invoices, expense reports and credit card statement with correct GL codes
- Research, resolve and respond to vendor and invoice discrepancies
- Maintain and create vendors in the accounting system and manage the overall vendor database
- Verify vendor account balances by reconciling vendor statements
- Verify employee expense reports and prepare expense reimbursement cheques
- Prepare GL account analysis and produce monthly reports as required by Management
- Ensure all activities are conducted in compliance with organizational policies and standards
Key Responsibilities - Accounting
- Prepare General Ledger entries for multiple entities monthly (Tall Ships Landing and Fuller Marine Services)
- Follow up and collect overdue payments from members, customers and tenants
- Ensure proper monthly revenue and expense cutoff, including accruals and deferred revenue
- Work in unison with customer service representatives on online and direct bookings
- Reconcile bank statements and accounts regularly, and assist with preparation of monthly financial statements
- Process monthly pre-authorized payments through online banking systems
- Prepare, verify and calculate Municipal Accommodation Tax remittances
- Maintain organized financial records and collaborate with external auditors during the audit process to provide necessary documentation and explanations
- Track Fuller Marine Services inventory balances
- Perform account analysis to identify discrepancies or irregularities, and recommend process improvements where applicable
- Attend and contribute to monthly and quarterly meetings with internal and external stakeholders
Key Responsibilities - Payroll
- Prepare and process biweekly payroll for Tall Ships Landing
- Validate timesheets and work orders to ensure amounts billed to customers are correct
- Ensure statutory deductions and taxable benefits are correctly accounted for and employees are paid in a timely manner
- Maintain up-to-date employee payroll records and ensure compliance with federal and provincial tax laws and regulations
- Ensure timesheets are correctly completed and coded in accordance with company policies, escalating issues to the HR Manager as appropriate
- Process payroll journal entries in the accounting system in a timely manner, including apportionment of payroll costs between divisions
Requirements
- Proven experience with accounting software such as QuickBooks or Yardi
- Strong knowledge of bookkeeping principles, including accounts payable, accounts receivable, and account reconciliation
- Experience with bank reconciliation and account analysis
- Familiarity with payroll processing and related compliance requirements
- Excellent organizational skills with attention to detail
- Ability to work independently and manage multiple priorities effectively
- Basic understanding of budgeting processes and financial reporting standards
- Prior experience in a similar bookkeeping or accounting role is preferred but not mandatory
