HSE / HR Assistant

Nordic Energy Canada Corp. is seeking a highly organized, professional, and personable HSE / HR Assistant to join our team. This is an administration-focused position that supports our HR/HSE Manager, with a focus on Transportation Compliance, and operations departments while serving as the first point of contact for employees, clients, vendors, and visitors.
The ideal candidate is a self-motivated administrative professional who enjoys working in a fast-paced environment, managing multiple priorities, and contributing to a positive workplace safety culture.
Key Responsibilities
Reception & Administrative Support
- Greet and assist employees, clients, vendors, and visitors in a professional and friendly manner.
- Answer and direct incoming phone calls, emails, and inquiries.
- Maintain a professional and welcoming office environment.
- Manage filing systems, document control, and data entry.
- Prepare reports, spreadsheets, letters, forms, and company communications.
- Schedule meetings, interviews, orientations, and training sessions.
- Support day-to-day office operations and administrative functions.
Recruitment & Human Resources
- Create and post job advertisements on various recruitment platforms.
- Review and screen resumes and applications.
- Coordinate interviews and candidate communications.
- Conduct reference checks and assist with pre-employment requirements.
- Prepare employment offers, onboarding packages, and employee documentation.
- Maintain confidential employee files and records.
- Assist with employee onboarding and orientation processes.
- Support employee benefits administration and HR record management.
Health, Safety & Environment (HSE)
- Maintain employee training records, safety certifications, and competency files.
- Track, schedule and monitor training, safety ticket, etc
- Assist with safety meeting preparation, attendance records, and documentation.
- Support incident reporting, investigations, and corrective action tracking.
- Maintain safety databases and electronic record systems.
- Assist with client compliance submissions, contractor prequalification requirements, and regulatory documentation.
Transportation Administration
- Maintain driver qualification files and transportation compliance records.
- Assist with fleet documentation and compliance recordkeeping.
- Support transportation-related administrative functions and reporting.
Qualifications
- Minimum 2 years of administrative experience.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication abilities.
- Proficient with Microsoft Office, office 365, Teams, SharePoint, (Word, Excel, Outlook).
- Ability to handle confidential information professionally and with discretion.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Experience in Human Resources, Safety Administration, Transportation Administration, or Oilfield Services is considered an asset.
- Experience with systems such as Samsara, BIS Safety, or similar software platforms is considered an asset.
- Experience with onboarding, training administration, compliance documentation, and employee records management is considered an asset.
