Executive Dental Coordinator & Executive Assistant to the President

About the Role
Amity Management is seeking a highly organized, proactive, and experienced dental professional to serve as Executive Dental Coordinator & Executive Assistant to the Chief Dentist
This role is ideal for an experienced Treatment Coordinator, Office Manager, or Senior Dental Administrator who thrives in a fast-paced, high-performance clinical environment and enjoys coordinating complex patient treatment plans, multi-office communication, and executive priorities.
The primary focus of this role is supporting high-value case acceptance, coordinating advanced treatment pathways, facilitating communication between offices, and ensuring seamless patient progression through complex dental care journeys.
Primary Responsibilities Treatment Coordination & High-End Case Management (Primary Function)
- Follow up on outstanding treatment plans and unscheduled dentistry across multiple offices.
- Coordinate and present high-value treatment cases including:
- All-on-4 implant cases
- Full mouth reconstruction and rehabilitative dentistry
- Oral surgery cases
- IV sedation and complex sedation dentistry cases
- Advanced restorative and specialty procedures
- Support patients in understanding complex treatment options, sequencing, and clinical recommendations.
- Assist patients with financial arrangements, financing options, and treatment planning decisions.
- Work closely with clinical teams to improve case acceptance and patient conversion rates.
- Proactively track and recover unscheduled high-value treatment opportunities.
- Ensure continuity of care across multiple providers and locations.
- Coordinate specialty referrals and multi-stage treatment journeys.
Interoffice Communication & Coordination
- Act as a central communication link between dental offices, specialists, regional managers, and leadership.
- Ensure seamless coordination of patient care between multiple providers and locations.
- Support implementation of clinical and operational initiatives across offices.
- Track and follow up on interoffice action items and treatment handoffs.
- Maintain consistency in communication standards and patient experience across all locations.
Executive Support
- Manage executive scheduling and administrative priorities.
- Coordinate meetings, agendas, and follow-up actions.
- Support strategic and operational projects led by the President.
- Prepare summaries, reports, and communication updates as required.
- Assist with coordination of leadership initiatives across the organization.
Patient Experience & Relationship Management
- Provide a high-touch, professional patient experience for complex and high-value cases.
- Support patient communication throughout multi-step treatment journeys.
- Assist in resolving patient concerns and ensuring continuity of care.
- Maintain strong relationships with patients, doctors, and clinical teams.
Qualifications Required
- Minimum 5 years of dental administration experience.
- Minimum 3 years of Treatment Coordinator, Senior Administrator, or Office Manager experience.
- Strong experience with treatment coordination and case presentation.
- Direct experience discussing complex dental treatment plans with patients.
- Understanding of advanced dental procedures including implant and surgical workflows.
- Excellent communication, organizational, and interpersonal skills.
- High level of professionalism, discretion, and emotional intelligence.
Preferred
- Experience in a multi-location dental group or DSO environment.
- Familiarity with high-end implant dentistry, full mouth rehabilitation, or surgical dental environments.
- Experience with practice management software (Dentrix, Tracker, AbelDent, etc.).
- Exposure to sedation dentistry workflows or surgical scheduling coordination.
- Experience supporting senior leadership or executive teams.
