TRAINING COORDINATOR Job ID: 17356 | Location: Toronto Full-Time | On-Site
About the Role
At Viega, we believe that great training experiences don't happen by accident—they're built by people who care deeply about every detail. As our Training Coordinator, you'll be the person who makes that happen. You'll own the logistics, the learning environment, and the first impression every attendee has of Viega's training center. This is a role for someone who thrives on keeping many plates spinning, who finds real satisfaction in a well-run room, and who genuinely enjoys making people feel welcomed and supported.
The Opportunity
Are you someone who takes pride in running a seamless operation? Do you find satisfaction in making sure every detail is handled before anyone has to ask? Are you the kind of person who walks into a room, spots what needs to be done, and just does it?
If you answered YES, this could be the opportunity you've been looking for.
In this role, you will:
· Manage registration from confirmation through arrival—acting as the primary liaison between customers and the training department
· Coordinate hotel, flight, and airport transportation logistics and communicate details clearly to all attendees and internal teams
· Plan group dinners, events, and entertainment—handling reservations and transportation so attendees can focus on learning.
· Set up and break down training rooms; prepare materials for each class including tent cards, certificates, sign-in sheets, feedback surveys, and agendas
· Maintain a clean, stocked, and welcoming facility throughout each training day, restocking the kitchen with snacks, beverages, and supplies continuously
· Greet attendees, manage check-in, and distribute t-shirts and tooling
· Order and distribute lunch for training groups; perform clean-up during breaks and after sessions.
· Answer incoming calls and inquiries; route messages to the right people efficiently
· Handle general office duties including reporting, filing, and expense reports
· Maintain the tool inventory and tracking system; collaborate with customers post-class to confirm tool selections and manage ordering
· Organize and replenish the literature rack and training supply inventory
· Collect, scan, and distribute attendee feedback; flag and address concerns as appropriate.
What You Bring
· Associate's degree or equivalent; 3–4 years of related administrative experience
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access); SAP experience is a plus
· Exceptional verbal and written communication skills—comfortable working across all levels of the organization and speaking in front of groups
· Strong organizational instincts and time management skills; you keep things moving without being asked
· A natural hospitality mindset: you take pride in excellent customer service and a positive company impression
· Sound judgment, discretion, and the ability to work independently
