Real Estate Administrative Assistant (Hybrid) – Markham, ON
Kaizen Real Estate Team is seeking an energetic, organized, and proactive Real Estate Administrative Assistant to support our growing team.
This hybrid role combines remote administrative work with regular field responsibilities throughout Markham and York Region. You'll work directly with Michael and Neeraj, coordinating transactions, listings, client communications, vendor relationships, and day-to-day operations.
Key Responsibilities
- Coordinate real estate transactions from offer to closing
- Manage listing operations, scheduling, and MLS data entry
- Maintain CRM databases (Lofty & Follow Up Boss)
- Prepare CMAs and seller information packages
- Coordinate vendors, photographers, stagers, and service providers
- Ensure RECO and FINTRAC compliance
- Support open houses, lockbox installation, and signage setup
Requirements
- Located in Markham or nearby (Richmond Hill, Stouffville, Vaughan, Aurora, Scarborough)
- Reliable vehicle, valid Ontario driver's licence, and insurance
- Personal laptop in good working condition
- Strong organizational and communication skills
- Sales-minded with understanding of lead follow-up and pipeline management
- Proficient with Google Workspace and Microsoft Office
- Comfortable working independently and in the field
- Legally entitled to work in Canada
Nice to Have
- Real estate, mortgage, or legal administration experience
- Experience with SkySlope, Lofty, Follow Up Boss, OREA WebForms, or TRREB Matrix
- Canva experience
- Interest in pursuing a real estate licence
Compensation
- $30,000–$35,000 annual salary
- $100 bonus per closed team transaction
