Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience in medical or dental office settings is a plus, but not required. The successful applicant will play a vital role in maintaining smooth office operations and ensuring a positive experience for clients and staff alike.
Duties
- Greet visitors and clients warmly, ensuring a professional and friendly first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry with accuracy into various software systems such as QuickBooks and other office databases
- Handle clerical tasks including filing, photocopying, proofreading documents, and organizing paperwork
- Assist with billing, bookkeeping, and basic administrative functions related to office operations
- Support customer service efforts by addressing inquiries promptly and professionally
- Maintain a clean and organized front desk area to promote a welcoming environment
- Support other administrative duties as needed to ensure efficient office workflow
Experience
- Prior office experience is preferred, especially in medical or dental environments
- Familiarity with front desk responsibilities including multi-line phone systems and appointment scheduling
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Experience with QuickBooks or bookkeeping is advantageous but not mandatory
- Excellent organizational skills with attention to detail in proofreading and filing tasks
- Demonstrated customer service skills with professional phone etiquette and support experience
- Clerical or administrative experience that showcases multitasking abilities and organizational competence
