We are currently looking for an Administrative Assistant to support our Film Clients at our Mississauga location.

- You thrive on building genuine relationships with production coordinators and film teams, becoming the person they trust to handle their rental needs quickly, accurately, and without drama.
What You'll Do:
- Open and manage rental accounts for new customers and productions from end to end including processing credit applications, setting up accounts, and ensuring all documentation is complete and accurate before a production's first unit hits the road.
- Review the Director's Guild weekly to monitor active productions, units on rent, upcoming wraps, and new productions requiring outreach, proactively identifying opportunities and gaps before they become issues.
- Administer rental agreements for rollover units between productions, process hiatus credits, follow up with coordinators to obtain and update POs on open rentals, and ensure every agreement reflects current production status accurately.
- Reconcile and communicate with Production Accounting departments on payment status, hiatus credits, and replacement vehicles while reviewing accounts receivable with management and processing due invoices in a timely manner.
- Provide professional front-line support across the branch managing incoming calls, delegating CRM tickets, supporting accounts payable and receivable, processing cheque requisitions, and keeping inventory and vehicle unit records current and accurate.
What You'll Bring:
- 2+ years of related administrative or accounting experience — exposure to the film industry, production environments, or rental operations is a meaningful asset that will set you apart.
- Strong proficiency in Microsoft Office, particularly Excel, with demonstrated experience managing spreadsheets, tracking accounts, and supporting financial reconciliation processes.
- Exceptional attention to detail and organizational skills, with the ability to manage multiple active productions simultaneously and stay ahead of deadlines, credits, and outstanding items without losing accuracy.
- Strong communication and interpersonal skills. You're comfortable building relationships with production coordinators, vendor contacts, and internal accounting teams, and you communicate clearly, professionally, and proactively.
