Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team in the Real Estate industry. The ideal candidate will be responsible for managing schedules, handling correspondence, and performing administrative tasks with professionalism and efficiency. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. Prior office experience and familiarity with various software tools are essential to succeed in this position.
Duties
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events.
- Handle incoming calls through multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
- Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and clarity.
- Perform data entry and maintain organized filing systems both physically and electronically.
- Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
- Coordinate travel arrangements and prepare itineraries for executives as needed.
- Use DocuSign for electronic signatures on documents requiring approval or signatures.
- Support administrative projects including document proofreading, organizing files, and assisting with special assignments.
- Maintain confidentiality of sensitive information at all times.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks and basic bookkeeping procedures.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills with good phone etiquette.
- Demonstrated clerical experience including data entry, filing, and office management.
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
- Familiarity with multi-line phone systems and front desk operations.
- Capable of proofreading documents for accuracy and clarity.
- Experience with Microsoft Outlook Calendar management is preferred.
- Knowledge of DocuSign for digital document signing is a plus.
- Background in the Real Estate industry is a benefit
