NIC –Administrative and Data Support Specialist
SUMMARY: The Newcomer Information Centres are a walk-in resource and information centres funded by Immigration, Refugees and Citizenship Canada and operated by Achēv. NICs provide settlement information and referral for the smooth transition of newcomers to life in Canada.
The iCARE Administrative and Data Support Specialist provides key data collection and reporting to funders, Manager and Coordinators of the Newcomer Information Centres.
DUTIES & RESPONSIBILITIES
- Enter, update, verify, and maintain accurate client records in the OneClient database and in iCARE portal in accordance with organizational policies and funders requirements.
- Organize, maintain, and archive electronic reports in accordance with organizational procedures.
- Maintain confidential client information and ensure data integrity, accuracy, and compliance with privacy standards.
- Perform ongoing data quality reviews to identify discrepancies, incomplete records, duplicate entries, and reporting errors.
- Research and resolve data issues through detailed record review and collaboration with program staff and IT personnel.
- Generate, compile, and share statistical, and program reports using OneClient and Microsoft Excel to program coordinator/manager.
- Monitor and track program data to support reporting deadlines and performance targets.
- Assist with data collection, audits, file reviews, and quality assurance initiatives.
- Compile and prepare spreadsheets to support funder Key Performance Indicators (KPIs), quarterly reporting requirements, and final program reports.
- Support program staff by providing administrative and database-related assistance.
- Create and update training manuals and resource materials.
- Contribute to process improvements that enhance efficiency, data accuracy, and reporting quality.
- Experienced in leading and facilitating orientation and training sessions.
- Perform other administrative duties as assigned by the Manager.
QUALIFICATIONS
- 2+ years of experience in an administrative, data entry, reporting, or database management role.
- Demonstrated ability to manage high volumes of data with a high degree of accuracy and attention to detail.
- Strong organizational skills with the ability to prioritize tasks and maintain accurate records.
- Advanced analytical, problem-solving, and data verification skills.
- Advanced proficiency in Microsoft Office Suite, particularly Excel, including formulas, pivot tables, sorting, filtering, and reporting functions.
- Extensive experience working with databases and CRM systems.
- Strong written and verbal communication skills, interpersonal skills, and cultural sensitivity.
- Demonstrated organizational, planning, and time-management skills.
- Ability to work independently, take initiative, and meet multiple deadlines in a fast-paced environment.
- Adaptable, flexible, and able to work effectively in a collaborative team environment.
- Experience with OneClient or other client management/database systems is considered an asset.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.
