Our firm is seeking an Office Administrator to join our in-office team.

About the Role
As Office Administrator, you’ll be responsible for welcoming and communicating with clients, including scheduling appointments and managing call volume, while providing administrative support to the team. Your role will directly contribute to the overall quality and timeliness of the services provided through active file management, coordination of internal workflows, and ensuring deadlines are met. Though the role is primarily administrative, there is an opportunity to develop and apply bookkeeping skills in diverse industries.
Key Abilities and Responsibilities
· Strong verbal and written communications with emphasis on professionalism
· Assessing and directing lines of communication and correspondence with clients and tax authorities
· Proficiency in Microsoft Office and the ability to learn new software and apply your knowledge
· Strong organizational and time management skills, with the ability to prioritize tasks and meet tight deadlines
· Assembling and proofreading client packages with a prominent attention to detail and accuracy
· Client relation management including the drafting of professional emails and letters, tracking invoices and accepting payments, and ensuring contact information is up to date
· File management including physical client files and digital archives
· Willing and able to work paid overtime during tax-season and if circumstances arise
Qualifications
· Minimum 5 years of office administration experience
· Office administration certification or equivalent experience
· Experience with paperless office systems including client relations and document management software
· Preference given to those with experience working with a public accounting firm, and bookkeeping experience, including use of QuickBooks and/or Sage
