We are seeking a motivated, organized, and detail-oriented Clinical Operations & Administrative Coordinator to join our collaborative team. This role will work closely alongside our operations team, coordinators, and medical leadership to support the daily administrative, educational, and business functions of the organization.

Comprehensive training and onboarding will be provided to ensure the successful candidate understands our systems, processes, clinical education programs, and administrative workflows.
Position Overview
The Clinical Operations & Administrative Coordinator will play an essential role in supporting healthcare operations, medical education programs, delegate communication, course coordination, and business administration.
The ideal candidate is proactive, professional, highly organized, and passionate about healthcare, education, and working within a fast-paced medical environment.
Key ResponsibilitiesAdministrative & Clinical Operations Support
- Provide administrative support alongside the operations team, coordinators, and medical leadership.
- Assist with daily organizational tasks, scheduling, communications, and follow-ups.
- Coordinate calendars, meetings, and operational priorities.
- Maintain accurate records, documentation, databases, and internal systems.
- Prepare professional correspondence, reports, invoices, certificates, forms, and administrative documents.
- Assist with tracking payments, registrations, invoices, and required documentation.
- Support onboarding processes for healthcare professionals and delegates.
Medical Education & Training Coordination
- Support the planning and execution of medical education programs, certification courses, workshops, and training events.
- Assist with delegate registration, confirmations, communications, and course logistics.
- Coordinate training day preparation, including materials, supplies, attendee support, and event setup.
- Communicate professionally with physicians, instructors, speakers, delegates, vendors, and participants.
- Assist with maintaining educational resources, course materials, and training documentation.
- Support ongoing improvements to educational programs and operational processes.
Healthcare Professional & Delegate Support
- Assist with onboarding nurses, nurse practitioners, physicians, and healthcare professionals.
- Support administrative processes related to delegation programs and medical education services.
- Assist with documentation requirements, medical directives, and compliance-related processes.
- Maintain confidentiality and professionalism when handling healthcare-related information.
- Provide administrative support to healthcare professionals participating in training programs.
Client Relations & Business Operations
- Respond to client, delegate, and healthcare professional inquiries through email, phone, and communication platforms.
- Maintain professional relationships with healthcare providers, partners, vendors, and sponsors.
- Assist with client communication, follow-ups, and administrative coordination.
- Support business operations, growth initiatives, and special projects.
- Provide exceptional customer service throughout the client experience.
Qualifications & SkillsRequired Qualifications

- Experience in healthcare, medical administration, aesthetics, education, or clinical environments.
- Background in nursing, medicine, healthcare sciences, or a related field.
- International Medical Graduate (IMG) preferred and encouraged to apply.
- Familiarity with medical terminology and healthcare workflows.
- Experience with event coordination, training programs, or professional education.
- Interest in aesthetic medicine and continued professional development.
