Job Overview
Progressive Millwrights Inc. (PMI) is seeking a detail-oriented and proactive Operations Coordinator to support daily millwrighting operations, project execution, and financial tracking. This role plays a key part in coordinating jobs from intake through completion, ensuring accurate costing, efficient scheduling, and strong communication between office, field teams, and clients.

Key Responsibilities
- Input and maintain accurate job and project data within the field service management system
- Support job intake by reviewing client requests, reviewing job details as provided by internal staff, and aligning appropriate crews and equipment
- Review work orders and perform job cost tracking, ensuring all labor, materials, subcontractors, and expenses are captured correctly
- Assist with scheduling and dispatch of field teams, coordinating shutdowns, installs, service calls, and emergency work to align with customer production schedules
- Assist with the coordination of resources including millwrights, welders, subcontractors, and support staff to ensure proper coverage across all active jobs
- Organize equipment and material movement from the PMI shop to job sites, ensuring all required tools, materials, and supplies are ready ahead of mobilization
- Maintain clear and professional communication with customers regarding scheduling, site readiness, constraints, and job/project updates
- Document completed work, deficiencies, follow-ups, and maintenance recommendations to support accurate reporting and future service opportunities
- Support the Operations Manager, Sales Team, and General Manager with administrative and operational tasks as needed
- Monitor customer accounts to ensure they remain in good standing and assist with accounts receivable follow-ups and collections as assigned
- Assist with and help source, procure, and track materials, parts, and supplies required for ongoing and upcoming projects
- Provide input and recommendations to improve operational efficiency, workflows, and internal processes
Qualifications
- High School diploma or equivalent
- Post Secondary Degree in business Admin, operations management, industrial technologies preferred
- 2-3 years experience in an operations role within a high volume fast past work environment (construction or industrial sector preferred)
Work experience
- Experience in an operations role within a high volume fast past work environment
- Experience using field service management software would be considered an asset
- Experience in customer facing role would be considered an asset

- Excellent written and verbal communication for cross-functional coordination
- Analytical problem-solving and ability to remain calm under pressure during high-volume periods.

Pay: $58,000.00-$65,000.00 per year
