Purpose:
The Pharmacy Assistant reports to the Pharmacy Manager in the Pharmacy department located at Royal Drugs Skymark in Mississauga.
The Pharmacy Assistant plays a key role in managing administrative tasks related to medication dispensing and refill scheduling. The Pharmacy Assistant coordinates internal and external communications to ensure patient medications are provided in a timely manner. This includes continued monitoring of medication use, patient eligibility, and billing accuracy.
The Pharmacy Assistant communicates with doctors, nurses, care coordinators at Ontario Health at Home (OHaH), and patients to ensure adequate quantities of medication are dispensed at the times necessary for continued patient care.
The Pharmacy Assistant relays relevant information with the customer service, shipping, warehouse and finance departments regarding medication dispensing and appropriate billing.

Job Responsibilities:

- Maintains up-to-date training designated for this position via the Company’s training platform QSI and other position specific training as required.
- Enters all prescription orders into the pharmacy systems and generates all worksheets and labels to ensure that the production schedule is optimized according to SOPs.
- Enters and prints production in advance.
- Ensures 100% accurate collation of production documents according to SOPs.
- Responsible for dispensing all non-compounded medications.
- Responsible for calling patients to set up medication delivery times.
- Responsible for making all calls to doctors to acquire reorders on medications (sterile compounded and non-compounded).
- Responsible for logging into the pharmacy phone queue and answering all pharmacy telephone calls. The Pharmacy Assistant answers the calls within their scope of knowledge and transfers inquiries outside of their scope to the pharmacist.
- Responsible for receiving and signing out narcotic drugs with the pharmacists.
- Schedules production for all sterile compounded medication.
- Responsible for ensuring all valid documentation for billing requirements are received – Ontario Drug Benefit (ODB) cards, Limited Use (LU) codes, or Letter of Authorization (LOA) for medications obtained through the Special Access Program (SAP) as required.
- Responsible for coordinating payment options for medications not covered by ODB.
- Responsible for programming CADD pumps.
- Ensure orders are prioritized throughout the day and monitors the DOP and fax for receipt of priority orders as required.
- Monitors relevant screens in Monarch and Pronto to confirm the status of progress of orders in the pharmacy department.
- Investigates and intervenes in situations that may lead to potential late deliveries.
- Liaise with Operations (i.e. Warehouse and Shipping) to expedite high priority deliveries.
- Responsible for scanning and filing prescriptions and worksheets.
- Perform ODB billings and reconciliations to ensure proper payment is obtained for medication orders in a timely fashion.
- Contact OHaH for missing drug cards and extending expired drug cards.
- Participates in departmental quality improvement initiatives.
- Internally, the Pharmacy assistant has daily contact with staff in the pharmacy, warehouse, shipping, customer service and the cleanroom.
- Externally, the Pharmacy Assistant has daily contact with patients, doctors, nurses and homecare regarding medication.
- Responsible for understanding and adhering to RD’s patient safety policies and procedures.
- Perform all other duties as assigned.
Qualifications:
- Pharmacy Assistant Certificate and relevant pharmacy experience.
- Pharmacy Technician from OCP an asset.

WORKING CONDITIONS:
- Generally comfortable office environment, some physical lifting of boxes (labels, bags, boxes of medications) under 20 pounds is required.
- Some time is spent in the refrigerator daily checking unsuccessful drug deliveries.
