Parts Manager - Full Time
POSITION OVERVIEW
We are currently seeking a Parts Manager who is organized, accountable, and committed to keeping our heavy-duty repair operation supplied with the right parts at the right time. This role is responsible for parts purchasing, inventory control, vendor relationships, pricing, returns, cores, and the day-to-day performance of the Parts Department. The Parts Manager must balance urgency, accuracy, cost control, and service to support technician productivity, customer uptime, and company profitability.
The Parts Manager plays a key role in keeping repairs moving by working closely with the service Manager, soreman, service Advisor, technicians, vendors, and administration to ensure parts needs are identified, sourced, received, tracked, and communicated accurately.

WHAT SUCCESS LOOKS LIKE
- Technicians receive the correct parts with minimal unnecessary delay so repair work keeps moving
- Inventory is accurate, organized, appropriately stocked, and aligned with current shop demand
- Parts purchasing, pricing, returns, cores, and vendor credits are actively managed to protect company profitability
- Strong relationships are maintained with customers, vendors, and Pro Spec staff through clear, professional, proactive communication
- The Parts Department operates with ownership, urgency, accountability, and consistent follow-through
PERFORMANCE OBJECTIVES
- Lead the daily operation of the Parts Department and ensure parts requests, orders, receiving, stocking, returns, and internal distribution are completed accurately and with urgency
- Source and purchase heavy-duty truck, trailer, engine, drivetrain, electrical, and related parts while considering price, quality, availability, freight, warranty, and supplier reliability
- Maintain accurate inventory levels, part locations, costs, pricing, and stocking quantities based on current shop usage and company needs
- Monitor parts gross profit, purchasing costs, sell pricing, discounts, freight, and other factors that affect department profitability
- Manage parts warranty claims and warranty documentation, process eligible warranty parts, and ensure return cores and warranty components are packaged, shipped back, tracked, and credited through completion
- Build and maintain strong professional relationships with customers, vendors, and Pro Spec staff while comparing purchasing options, negotiating where appropriate, and addressing recurring pricing, delivery, quality, or service concerns
- Coordinate with the Service Manager, Foreman, Service Advisors, and technicians to anticipate parts requirements, communicate availability, and reduce technician delays caused by missing or incorrect parts
- Receive and verify incoming parts for quantity, condition, accuracy, cost, and correct assignment to inventory, customer units, estimates, or work orders
- Maintain a clean, organized, labeled, and efficient parts room, receiving area, and inventory system that supports fast and accurate parts access
- Lead, coach, and mentor Parts Department team members, including performing scheduled one-on-ones, providing performance feedback, maintaining accountability, supporting training, and following through on individual development goals
- Participate in KPI, metrics and team meetings, understand current company-set targets, consistently complete company-supplied training, and actively seek new SOPs, systems, tools, and process improvements that increase Parts Department effectiveness
- Perform additional duties as assigned
KEY COMPETENCIES
- Strong heavy-duty truck, trailer, engine, and related parts knowledge
- Organized and able to manage multiple orders, priorities, vendors, and deadlines at once
- High attention to detail in part numbers, quantities, costing, pricing, inventory, and documentation
- Strong purchasing judgment with an understanding of cost, margin, availability, freight, and overall value
- Clear, professional communication and relationship-building with customers, vendors, Pro Spec staff

- Urgency-focused and understands how parts availability affects customer uptime, billed hours, and shop production
- Strong problem-solving skills and able to find practical alternatives when parts are unavailable or delayed
- Comfortable using shop management software, vendor catalogues, email, spreadsheets, and digital communication tools
- Comfortable working toward measurable KPIs, current company-set targets, and continuous improvement

EDUCATION AND EXPERIENCE
- High school diploma or equivalent required
- 5+ years of heavy-duty truck, trailer
- Previous parts leadership, supervisory, or management experience preferred
- Strong working knowledge of heavy-duty truck and trailer parts, components, systems, and common repair applications
- Experience with inventory control, purchasing, receiving, parts warranty processing, returns, core shipping and tracking, vendor credits, and vendor management
- Experience with Fullbay shop management software preferred, along with electronic parts catalogues, Microsoft Word, Microsoft Excel, and email communication
- Journeyman Parts Technician certification

PHYSICAL REQUIREMENTS
- Ability to work in a fast-paced office, parts room, receiving, and shop-adjacent environment
- Comfortable standing, walking, lifting, carrying, and moving parts throughout the parts room and shop during the day
- Ability to maintain focus and professionalism during high-volume, high-pressure situations
- Frequent computer, phone, catalogue, and digital communication use throughout the day
- Comfortable with shop conditions including noise, dust, vehicle traffic, and temperature changes
- Must be able to safely lift and handle common truck and trailer parts and wear required PPE in shop areas
