Job Summary
The Payroll and Accounts Specialist is responsible for the accurate and timely processing of payroll and the day-to-day management of company accounts, including accounts payable, accounts receivable, and account reconciliations. This role ensures compliance with payroll legislation, supports accurate financial record-keeping, and acts as a key point of contact for payroll and vendor-related inquiries.
Key Responsibilities
Payroll
- Process bi-weekly/semi-monthly payroll for all employees using ADP
- Maintain employee payroll records (new hires, terminations, rate changes, status changes)
- Calculate and process deductions, benefits, overtime, and statutory holiday pay
- Remit statutory deductions (CPP, EI, income tax) accurately and on schedule
- Prepare and issue T4s and other year-end tax documents
- Respond to employee inquiries regarding pay, deductions, and time-off balances
- Stay current on provincial/federal payroll legislation changes
Accounts
- Manage accounts payable: process vendor invoices, verify accuracy, and issue payments
- Manage accounts receivable: generate invoices, track incoming payments, follow up on outstanding balances
- Reconcile bank and credit card statements monthly
- Maintain vendor and account records (e.g., Blue Cross, Nethris, Costco, Amazon, and other company accounts)
- Assist with month-end and year-end account reconciliations
- Support budget tracking and expense reporting
- Liaise with external accountants/bookkeepers as needed
Qualifications
- 2+ years of combined payroll and accounts/bookkeeping experience
- Proficiency with ADP (Workforce Now or equivalent) required
- Experience with accounting software (e.g., QuickBooks, Sage, or similar)
- PCP (Payroll Compliance Professional) certification an asset
- Strong understanding of employment standards legislation
- High attention to detail, accuracy, and confidentiality
- Proficient in Excel
