COMMUNITY OUTREACH & REFERRAL COORDINATOR

Permanent Part-Time | 5–10 Hours per Week
Community-Based and In Person | Northeast Edmonton
Brintnell Counselling & Psychology is seeking an organized, outgoing and relationship-focused Community Outreach & Referral Coordinator to develop professional referral connections throughout Edmonton and surrounding communities.
This is not simply a flyer-distribution or social-media position. The successful candidate will manage outreach initiatives from beginning to end: identifying potential referral partners, learning about their needs, coordinating appropriate materials, making contact, delivering information, following up and maintaining long-term professional relationships.
The goal of this position is to increase appropriate referrals while developing trusted connections between Brintnell Counselling & Psychology and the communities we serve.
KEY RESPONSIBILITIES
Referral Relationships
- Research and identify medical clinics, physicians, schools, community organizations, rehabilitation providers and other potential referral partners
- Identify and communicate with the correct decision-maker or referral contact
- Initiate contact by telephone, email and in-person visits
- Learn about each organization’s populations, service needs and referral gaps
- Explain Brintnell’s services, clinicians, availability and referral process accurately
- Establish and maintain professional business-to-business relationships
- Arrange meetings, presentations and clinic visits when appropriate
- Keep referral partners informed about relevant services and availability
Outreach Materials
- Determine which information and materials each organization requires
- Communicate material needs, quantities and deadlines to the clinic’s marketing support and Founder
- Coordinate the approval, printing, organization and distribution of brochures, clinician profiles, referral instructions and service-specific materials
- Deliver or send materials to the appropriate contact
- Confirm that materials were received
- Maintain an organized inventory and identify when materials require updating or reordering
- Ensure outdated materials are replaced promptly
Follow-Up and Referral Development
- Follow up consistently after calls, emails, meetings and material deliveries
- Respond to questions from referral partners
- Identify barriers that may prevent organizations or clients from accessing services
- Recommend additional information, services or outreach initiatives based on community feedback
- Maintain relationships beyond the initial introduction
- Coordinate with clinic administration to ensure incoming referrals receive prompt follow-up
Community Events
- Research relevant community events, health fairs and networking opportunities
- Help organize clinic open houses, presentations, workshops and collaborative events
- Coordinate registration, materials, displays, clinician participation and event logistics
- Represent the clinic professionally at approved events
- Complete follow-up with attendees and participating organizations
Tracking and Reporting
- Maintain a detailed outreach tracker containing all contacts, conversations, materials, follow-ups and next steps
- Track referral sources, inquiries, consultations and initial appointments resulting from outreach
- Provide regular reports on activities, results, community needs and opportunities
- Identify which organizations and outreach activities are producing meaningful referral relationships
QUALIFICATIONS
- Experience in outreach, referral coordination, business development, healthcare, education, social services, administration or relationship-based sales
- Strong verbal and written communication
- Comfortable initiating telephone calls, emails and in-person business conversations
- Able to establish relationships without using high-pressure sales tactics
- Highly organized and consistent with follow-up
- Able to manage projects independently from planning through completion
- Comfortable using Google Workspace and electronic tracking systems
- Mental-health, medical-office or community-services experience is an asset
- Event-planning experience is an asset
- Valid driver’s licence and reliable transportation are required

SCHEDULE AND COMPENSATION
- Permanent part-time
- Approximately 5–10 hours per week initially
- Primarily weekday daytime hours
- Occasional availability for community events
- $20–$23 per hour, depending on relevant experience
- Approved business mileage reimbursed
