Job Summary
Join our dynamic team as an Assistant Residential Property Manager, where your proactivity, organization and client-focused communication skills will drive the success of two multi-residential rental communities in Oakville and Stoney Creek.
In this role, you will support the Property Manager in overseeing daily property activities, ensuring exceptional resident experiences, and maintaining smooth administrative workflows. Your proactive approach will help foster a welcoming community environment while managing essential administrative and operational tasks.
This is a hands-on, multi-site position responsible for supporting daily property operations, resident relations, compliance, contractor coordination, building inspections, and administrative functions.
The successful candidate will work closely with the Property Manager and onsite Superintendent at each location and will report directly to the Property Manager and Client Relations Manager.
Responsibilities
Resident Services & Office Hours
- Maintain dedicated onsite office hours Monday–Friday, 8:30 AM–5:00 PM, based on the assigned property schedule.
- Act as an accessible point of contact for residents and respond to questions and concerns professionally.
- Accept rent cheques and other required document drop-offs in accordance with company procedures.
- Assist with resident concerns, move-ins, move-outs, inspections, notices, and general tenancy matters.
- Maintain accurate resident records and follow up on outstanding matters.
- Become familiar with and proficient in using the Building Stack tenant portal/application, as well as any other resident communication, property management, or technology platforms adopted by the company.
- Assist residents with navigating these platforms where appropriate and help ensure technology is being used effectively to support a smooth and positive resident experience.
- Ensure resident requests, communications, and information submitted through these platforms are monitored and followed up on appropriately.
- Pre-move-in orientation
Property Operations & Oversight
- Work 2 days per week at Stoney Creek, 2 days per week at Oakville, and 1 day per week at Head Office at Burlington.
- Conduct a full interior and exterior building walk at least once per week at each property.
- Inspect common areas, grounds, parking, building condition, cleanliness, safety, signage, and resident amenities.
- Ensure building rules, regulations, policies, procedures, and operational standards are being properly followed and implemented.
- Identify operational gaps, deficiencies, and areas requiring improvement and ensure appropriate follow-up.
- Immediately report any significant, urgent, safety, compliance, or operational issues to Management.
- Provide regular updates on site conditions and outstanding issues.
Contractor & Trades Oversight
- Monitor trades and contractors completing work at the properties, when applicable.
- Ensure contractors are attending and completing work scheduled or authorized by the Property Manager.
- Verify that work has been completed properly and within the expected timeframe.
- Identify incomplete or deficient work and coordinate follow-up as directed.
- Report contractor delays, deficiencies, or concerns to the Property Manager.
- Responsible for obtaining contractor quotes and ensuring a minimum of three competitive quotes are provided to the Property Manager for review and approval.
RTA & Compliance
- Maintain a strong working knowledge of the Ontario Residential Tenancies Act (RTA) and applicable residential tenancy requirements.
- Assist the Property Manager with tenancy and compliance matters.
- Prepare and serve notices and other required documents to tenants when required, in accordance with applicable legislation and company procedures.
- Identify potential compliance or tenancy issues and escalate them promptly.
- Ensure building policies, rules, and regulations are consistently communicated and implemented.
Building Notices & Signage
- Post and maintain building notices, resident communications, and signage as directed.
- Ensure notices are accurate, professional, current, and displayed in appropriate locations.
- Remove outdated notices and replace damaged or missing signage.
- Monitor signage throughout common and amenity areas.
Team Communication & Reporting
- Work closely with the Property Manager and onsite Superintendent at both properties.
- Bridge communication and operational gaps between onsite teams, contractors, residents, Property Management, and Senior Management.
- Track outstanding issues and ensure they are followed through to completion.
- Escalate matters requiring immediate attention without delay.
- Provide clear updates and recommendations to the Property Manager and Senior Management.
Qualifications
- Experience in property management, leasing, or a related field is an asset.
- Strong knowledge of the Ontario Residential Tenancies Act is required.
- Experience preparing and serving tenant notices is preferred.
- Valid Ontario driver's licence and reliable vehicle are required. Regular travel between the two properties and company’s head office is an essential part of the position. Mileage to be reimbursed.
- Strong customer service and resident relations skills.
- Excellent communication, organization, and time-management skills.
- Strong attention to detail and follow-through.
- Ability to identify problems, prioritize competing demands, and take initiative.
- Professional and confident when dealing with residents, contractors, superintendents, and management.
- Strong computer skills and the ability to quickly learn and effectively use Building Stack and other property management, tenant portal, communication, and technology applications.
- Property management software experience is an asset.
Pay: $55,000.00-$65,000.00 per year
