Operations & Project Coordinator Job Overview Squires Industrial Services Ltd. is seeking a highly organized, detail-oriented, and proactive Operations & Project Coordinator to join our growing team. This position is responsible for coordinating customer projects from start to finish by working closely with customers, field technicians, supervisors, and management. The successful candidate will ensure projects are properly documented, labour is accurately tracked, invoices are completed promptly, key performance indicators (KPIs) are monitored, and staffing needs are proactively supported. This role is ideal for someone who enjoys working in a fast-paced industrial environment and thrives on organization, communication, and problem solving. --- Responsibilities - Serve as the primary administrative contact for customers throughout active projects. - Coordinate project details between customers, field staff, and management. - Track and verify employee labour hours against work orders, Labour Entry Manifests (LEMs), and project requirements. - Ensure all LEMs, daily reports, and project documentation are completed accurately and submitted on time. - Prepare and submit customer invoices using labour, parts, equipment, subcontractor, and expense information. - Monitor project progress and follow up on outstanding documentation, approvals, purchase orders, and customer requests. - Prepare weekly and monthly KPI reports, including labour utilization, work in progress (WIP), invoice turnaround times, project profitability, and work order status. - Assist with scheduling personnel, travel, accommodations, and project mobilizations. - Source qualified tradespeople through recruiting platforms including Indeed and other industry resources. - Screen resumes, conduct initial interviews, coordinate reference checks, and assist with onboarding new employees. - Maintain accurate electronic project files and company records. - Support continuous improvement by identifying opportunities to improve operational processes and reporting. - Assist management with administrative and operational tasks as required. --- Skills & Qualifications - Previous experience in project coordination, operations coordination, service administration, construction, mining, heavy equipment, industrial maintenance, or a related industry. - Strong organizational and time management skills with the ability to manage multiple priorities simultaneously. - Excellent communication and customer service skills. - High level of accuracy and attention to detail. - Experience reviewing timesheets, labour reports, work orders, or project documentation. - Experience preparing invoices, job costing, or supporting project billing is considered an asset. - Comfortable using Microsoft Office, particularly Excel, Outlook, Teams, and Word. - Experience with accounting or service management software such as QuickBooks Online, ShopView, or similar ERP/work order systems is considered an asset. - Ability to analyze operational data and prepare management reports. - Experience recruiting skilled trades or industrial personnel is considered an asset. - Ability to work independently while collaborating effectively with multiple departments. - Valid Class 5 driver's licence. --- Why Join Squires Industrial Services? - Competitive salary based on experience. - Opportunities for professional growth and advancement. - Work with a rapidly growing industrial service company operating across Saskatchewan, Alberta, and the Northwest Territories. - Diverse responsibilities with no two days the same. - Supportive team environment where your contributions directly impact company success. - Comprehensive benefits package. - Company events and team-building opportunities. Pay: $39,329.74-$117,619.81 per year
