Sarens is a global leader in heavy lifting, engineered transport, and crane rental solutions. We are seeking a highly organized and results-driven Assistant Project Manager to support the successful planning, execution, and financial performance of projects. Working closely with Project Managers, Operations, Engineering, Sales, and Fleet teams, the Assistant Project Manager will play a key role in project coordination, contract administration, financial tracking, resource management, and customer support.

Key Responsibilities
Contracts Management
- Assist with reviewing, administering, and maintaining project contracts.
- Ensure contractual obligations, deliverables, and milestones are tracked and fulfilled.
- Support contract compliance and documentation management throughout the project lifecycle.
- Coordinate with clients, subcontractors, suppliers, and internal stakeholders regarding contractual matters.
Change Order Management
Identify, document, and track project scope changes.
- Prepare and submit change order requests and supporting documentation.
- Monitor approval status and ensure approved changes are incorporated into project budgets and schedules.
- Maintain accurate records of all contract variations and amendments.
Purchase Order (PO) Value Tracking
- Create, monitor, and maintain purchase order registers.
- Track committed costs against approved budgets.
- Ensure PO values align with project forecasts and financial objectives.
- Assist in reviewing supplier invoices and reconciling project expenditures.
Material Management
- Coordinate procurement and delivery schedules for project materials.
- Track material usage, receipts, inventory levels, and project allocations.
- Work with procurement and site teams to ensure materials are available when required.
- Monitor material costs and identify discrepancies or potential savings opportunities.
Equipment Tracking
- Monitor the allocation, mobilization, utilization, and demobilization of project equipment.
- Maintain accurate equipment records and project asset tracking reports.
- Coordinate with fleet and operations teams to ensure equipment availability and optimization.
- Support equipment maintenance planning and compliance requirements.
Operations Coordination
- Support project planning, scheduling, and execution activities.
- Coordinate communication between project teams, field personnel, engineering, sales, fleet, and clients.
- Assist in managing project resources and operational priorities.
- Participate in project meetings, site visits, and progress reviews.
Profit & Loss (P&L) Management
- Assist in tracking project financial performance and profitability.
- Monitor project budgets, forecasts, revenue, and costs.
- Support monthly financial reviews and variance analysis.
- Identify opportunities to improve project margins and operational efficiency.
Site Sales & Business Development
- Develop and maintain positive relationships with customers and stakeholders.
- Identify opportunities for additional project services and revenue generation.
- Support the preparation of quotations, proposals, and commercial documentation.
- Promote Sarens' service offerings at project sites and during customer interactions.
Data Analytics
- Collect, analyze, and interpret project performance data.
- Develop dashboards and key performance indicators (KPIs).
- Identify trends, risks, bottlenecks, and opportunities for improvement.
- Utilize project data to support decision-making and continuous improvement initiatives.
Reporting
- Prepare weekly and monthly project reports for management and clients.
- Maintain project schedules, cost reports, forecasts, and performance metrics.
- Produce accurate documentation related to project progress, financial performance, and resource utilization.
- Ensure project information is maintained within ERP and reporting systems.
SHEQ & Compliance
- Promote compliance with all company SHEQ standards, policies, and procedures.
- Participate in safety meetings, inspections, audits, and incident investigations.
- Support continuous improvement initiatives and risk management activities.
- Ensure project activities comply with applicable legislation and corporate requirements.
Qualifications & Experience
Required
- 3-5 years of experience in project coordination, construction, industrial services, logistics, heavy equipment, or related industries.
- Strong understanding of contracts, project controls, cost management, and operations.
- Excellent organizational and time-management skills.
- Advanced proficiency in Microsoft Excel and Microsoft Office applications.
- Strong analytical, communication, and problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred
- Post-secondary education in Project Management, Engineering, Business Administration, Construction Management, or a related discipline.
- Experience with ERP systems and project management software.
- Knowledge of heavy lifting, transportation, construction, or crane operations.
- Understanding of project financial management and contract administration.
