Trans-Ontario Express - Junior Dispatcher

Who We Are Looking For:
We are seeking a highly motivated, dedicated, and disciplined individual for the role of Junior Dispatcher. The ideal candidate will possess excellent organizational and communication skills, a strong work ethic, and preferably a background in the transportation industry.
Job Duties:
- Track, post, prepare, measure, and report customer invoices and orders.
- Respond to customer requests, provide statements, and invoice copies.
- Perform general administrative tasks such as document filing, matching invoices, and billing.
- Ensure timely preparation and scanning of PODs (Proof of Deliveries).
- Handle daily phone calls related to billing, order tracing, order taking, and invoices from customers.
- Analyze all drivers in software and understand their routings and what vehicle they are driving (Size of Vehicle)
- Analyze all order in the software and discover urgent deliveies due to appotments or rush service requirements.
- Analyze all driver orders and make sure that orders are cleared on time perferable by the driver on their device
- By 2pm, start preparing for the next day orders by assigning the orders on the software to their relative routing screen
- At 5pm put all paperwork in order to follow the driver's manifest created by the head dispatcher
- Get familiar with the areas and be ablle to tell if something does not fit into the routing
- Be able to suggest the best driver for certain pickups during the afternoon
Profile:
- Administrative/Customer Service experience.
- Transportation/Logistics experience is an asset.
- Familiarity with QuickBooks is advantageous but not mandatory.
- Experience with billing and invoice processing is preferred.
- Proficiency in Microsoft Office applications.
- Exceptional communication skills, both verbal and written.
- Creative problem-solving abilities.
- Ability to work independently and collaboratively within a team.
- Strong analytical and organizational skills with attention to detail.
- Excellent interpersonal and client service skills.
