Job Overview
We are seeking a professional and organized Front Desk Clerk to join our team at Royal City Physio. The ideal candidate will serve as the first point of contact for patients, manage administrative tasks, and ensure smooth office operations. This role requires excellent communication skills, proficiency with jane app, and a friendly demeanor to support a positive customer experience. Prior experience in a medical office or as an administrative assistant is a plus, but we value organizational skills and a strong work ethic above all.
Please note this is a part-time position. Flexibility with scheduling would be beneficial. Wednesday & Thursday evening availability required, Saturday availability would be ideal.
Responsibilities
- Greet visitors and clients in a courteous and professional manner
- Manage multi-line phone systems, directing calls efficiently and courteously
- Handle data entry tasks accurately using Microsoft Office
- Maintain organized filing systems both electronically and physically
- Schedule appointments and manage calendars for physiotherapists
- Assist with administrative duties such as proofreading documents, managing correspondence, and supporting bookkeeping activities
- Support customer service efforts by providing information and addressing inquiries promptly
- Ensure the reception area is tidy and welcoming at all times
- Perform clerical tasks including typing, proofreading, and document management to support office operations
- Laundry and cleaning clinic equipment
Skills
- Proficiency with Microsoft Office and Jane App
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail
- Effective multi-tasking abilities in a fast-paced environment
- Exceptional phone etiquette and customer service skills
- Prior clerical or administrative experience preferred
- Data entry accuracy and proficiency in filing systems
- Ability to handle multiple priorities efficiently and professionally
- Strong typing speed and proofreading skills to ensure error-free documents
- Knowledge of front desk operations, including multi-line phone systems and appointment scheduling
- Comfortable working independently
- Ability to problem solve
