DBD Westcoast Construction is seeking an experienced, highly organized, and detail-oriented Senior Bookkeeper & Office Administrator to support the financial and administrative operations of our growing design-build construction company.
This is a senior role for someone who is exceptionally proficient in QuickBooks Online and can confidently manage the company's day-to-day bookkeeping with minimal supervision. We are looking for an individual who takes pride in maintaining clean, accurate financial records, communicates professionally, and helps keep our office running efficiently.
The ideal candidate will have strong bookkeeping experience, excellent written and verbal communication skills, and the confidence to professionally communicate with employees, subcontractors, suppliers, consultants, and clients by both phone and email.
Experience in the construction, design-build, architecture, engineering, or project-based industry is considered a strong asset.
Key Responsibilities
- Manage all day-to-day bookkeeping functions using QuickBooks Online
- Maintain clean, accurate, and well-organized financial records
- Process accounts payable and accounts receivable
- Prepare, issue, and monitor client invoices and subcontractor payments
- Reconcile bank accounts, credit cards, loans, and other balance sheet accounts
- Record expenses, journal entries, and project-related transactions accurately
- Assist with payroll processing and payroll record maintenance
- Track project costs and provide financial information to management as required
- Prepare clear, professional, and grammatically correct notes within QuickBooks Online
- Draft professional emails to clients, subcontractors, suppliers, and consultants
- Contact subcontractors, suppliers, and clients by telephone regarding invoices, payments, documentation, scheduling, and account inquiries
- Maintain positive working relationships through courteous and professional communication
- Organize digital and physical accounting records and filing systems
- Assist with onboarding documentation and general office administration
- Identify and implement improvements to bookkeeping and office procedures
- Work closely with management to ensure financial records remain accurate, current, and audit-ready
Required Qualifications
- Extensive experience using QuickBooks Online (Required)
- Strong knowledge of bookkeeping principles and accounting practices
- Experience with accounts payable, accounts receivable, reconciliations, payroll support, and financial recordkeeping
- Ability to independently maintain accurate and organized books
- Excellent attention to detail and commitment to accuracy
- Strong organizational and time management skills
- Excellent written English with proper grammar, spelling, punctuation, and professional formatting
- Ability to write clear and concise emails and professional notes within QuickBooks Online
- Well-spoken with excellent telephone etiquette and interpersonal communication skills
- Comfortable making and receiving phone calls with subcontractors, suppliers, consultants, clients, and coworkers
- Strong relationship-building and customer service skills
- Proficiency in Microsoft Office (Outlook, Excel, Word) and cloud-based office software
- Ability to prioritize multiple tasks in a fast-paced environment
- Self-motivated, dependable, and proactive with excellent problem-solving abilities
Preferred Qualifications
- Experience in the construction, design-build, architecture, engineering, or project-based industry
- Experience tracking project costs and job costing
- Experience supporting payroll and contractor payments
- Familiarity with GST filings and Canadian bookkeeping practices
