Position Summary
The Medical Office Administrator plays a vital role in supporting patients and clinical staff by managing front-desk operations, scheduling, and administrative tasks. This role blends customer service excellence with medical office assistant responsibilities to ensure a positive experience. Please note that this position is in an office and not direct patient facing in a clinic setting.
Key Responsibilities:
Patient Interaction & Support
- Greet and assist patients by phone, or via email with professionalism and empathy.
- Address inquiries related to appointments, payments, and clinic procedures.
- Provide guidance on pre-appointment instructions and post-visit follow-ups.
Scheduling & Coordination
- Schedule and confirm patient appointments using EMR systems.
- Coordinate referrals with specialists and external providers.
- Communicate appointment changes, cancellations, and reminders.
Administrative Duties
- Maintain and update patient records, including demographics and insurance details.
- Assist with intake forms, consent documentation, and medical history updates.
- Ensure compliance with PHIPA and clinic confidentiality policies.
- Process payments and issue receipts for services rendered.
Technical Support
- Navigate EMR and practice management software to input and retrieve patient data.
- Assist patients with accessing and using online portals and virtual care platforms.
Team Collaboration
- Communicate effectively with medical staff regarding patient needs and updates.
- Support clinical workflows by preparing charts and organizing documentation.
- Participate in team meetings to enhance patient experience and office efficiency.
Qualifications:
Experience with data entry into a computer system and knowledge of Microsoft Office
- 1–2 years of experience in a healthcare or customer service setting preferred.
- Proficiency in EMR systems and Microsoft Office Suite.
- Strong communication, organizational, and multitasking skills.
- Knowledge of medical terminology.
- Ability to work in a team.
- Attendance must be in good standing.
- Must speak fluent English and French
