About the Role
David Miner & Associates is looking for a highly organized, professional, and client-focused Executive Assistant / Financial Services Administrator to support our advisors, clients, and daily office operations.
This role is ideal for someone who enjoys managing details, staying ahead of priorities, supporting senior professionals, and helping create a smooth and welcoming client experience.
The successful candidate will be proactive, dependable, comfortable handling confidential information, and able to manage multiple priorities in a busy professional office.
What You’ll Do
Executive and Administrative Support
- Manage calendars, appointments, meetings, reminders, and scheduling.
- Prepare meeting agendas, client materials, correspondence, and follow-up items.
- Monitor deadlines and ensure important tasks are completed.
- Support event planning, client appreciation initiatives, and marketing activities.
- Coordinate office supplies, vendors, invoices, receipts, expense reports, and filing.
- Maintain organized electronic and paper records.
- Assist with special projects and other administrative priorities.
- Identify opportunities to improve systems, templates, checklists, and office processes.
Client and Financial Services Administration
- Support client onboarding, account opening, documentation, and CRM updates.
- Maintain accurate and confidential client records.
- Assist with Know Your Client documentation and compliance follow-up.
- Process trades and monitor transactions, transfers, and outstanding documentation.
- Follow up with financial institutions, fund companies, insurance carriers, and MGA partners.
- Support insurance applications, policy updates, and carrier communication.
- Respond professionally to client questions regarding statements, tax slips, online access, and paperwork.
- Prepare client meeting packages and track required follow-up.

- Strong technology skills and the ability to learn new systems.
Previous experience in financial services, insurance, wealth management, investments, or another professional office environment is considered an asset.
Additional Assets
Experience with any of the following would be helpful:
- Salesforce or another CRM.
- Microsoft Office.
- Mailchimp, WordPress, or Canva.
- QuickBooks Online, bookkeeping, expense tracking, or basic accounting support.
- HR administration, employee documentation, or vacation and sick-day tracking.
