Job Summary
We are seeking a highly organized and detail-oriented Entry-Level Executive Assistant & Program Assistant & Data Entry and Client Support to join our team. This versatile role provides essential administrative support, manages client communications, and assists with data entry and bookkeeping tasks. The ideal candidate will demonstrate excellent organizational skills, proficiency in office software, and a strong customer service orientation. Responsibilities
- Manage and maintain schedules using Microsoft Outlook Calendar and Google Workspace to coordinate meetings and appointments.
- Provide exceptional customer service via phone, multi-line phone systems, and front desk interactions, ensuring client inquiries are handled professionally and promptly.
- Perform data entry tasks accurately using typing skills, including updating databases, maintaining records, and inputting information into systems such as QuickBooks.
- Assist with bookkeeping responsibilities, including basic invoicing, expense tracking, and reconciling accounts.
- Prepare, proofread, and file documents to ensure accuracy and organization; utilize Microsoft Office tools for document creation and editing.
- Support program coordination by organizing files, managing correspondence, and assisting with project-related tasks.
- Use DocuSign for electronic signatures on documents when necessary.
- Maintain office supplies inventory and ensure the front desk area is welcoming and organized.
- Perform general clerical duties such as filing, photocopying, and handling mail to support daily operations.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks or similar bookkeeping software is a plus.
- Strong data entry skills with high accuracy; excellent typing speed preferred.
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent communication skills with professional phone etiquette.
- Experience with office procedures such as filing, proofreading, and document management.
- Familiarity with multi-line phone systems and front desk operations.
- Ability to manage scheduling effectively using Microsoft Outlook Calendar or similar tools.
- Knowledge of DocuSign or other electronic signature platforms is advantageous.
- Previous clerical or administrative experience is preferred but not required; willingness to learn is essential.

Pay: $45,000.00-$61,000.00 per year
