About CuraVita
CuraVita Homecare Services is a growing Calgary-based home healthcare company providing
compassionate, professional in-home care to clients throughout Calgary and surrounding areas.
We are currently supporting 10+ clients and providing 700+ hours of care each month. As we continue to
grow, we are looking for a highly organized and detail-oriented HR & Compliance Administrative
Assistant to join our team and help us build strong systems and processes for the next stage of our
growth.
This is an excellent opportunity for someone who enjoys organization, administration, people coordination,
and working in a healthcare environment.
About the Role
This position will initially be part-time, with the potential to transition into a full-time position as CuraVita continues to grow.
You will work closely with our RN/Clinical Lead and Operations Coordinator to ensure our employee records, onboarding, credentials, documentation, and compliance processes are properly maintained.
The ideal candidate is someone who is extremely organized, detail-oriented, proactive, and comfortable following processes. You should be the type of person who notices when something is missing and makes sure it gets completed.
Key Responsibilities
Employee & HR Administration
- Maintain accurate and up-to-date employee files
- Collect and organize employee documentation
- Track certifications, training, and credential expiry dates
- Ensure required documentation is completed before employees are assigned to clients
- Coordinate reference checks and background screening
- Maintain confidentiality of employee and client information
- Assist with employee onboarding and offboarding
Employee Onboarding
- Coordinate the onboarding process for new HCAs and other staff
- Ensure all required forms, agreements, policies, and acknowledgements are completed
- Coordinate orientation and training with the appropriate team members
- Maintain onboarding checklists and ensure employees are fully cleared before their first shift
Compliance & Quality Administration
- Maintain compliance checklists and documentation
- Monitor upcoming certification and document expiries
- Assist with regular employee and client file audits
- Track outstanding compliance items and follow up with employees
- Maintain records related to training, orientation, incidents, and other required documentation
- Assist management in ensuring CuraVita's policies and procedures are consistently followed
Operations Support
- Provide administrative support to the scheduling and operations team
- Assist with employee availability and documentation
- Coordinate communication with employees when documentation or information is required
- Help maintain organized records and internal systems
- Assist with client documentation and administrative tasks as required
What We're Looking For
- Previous experience in administration, HR, healthcare administration, office administration, or a similar role
- Excellent organizational and time-management skills
- Extremely detail-oriented with strong follow-through
- Strong written and verbal communication skills
- Comfortable working with confidential and sensitive information
- Comfortable using computers and learning new software
- Ability to manage multiple tasks and deadlines
- Professional, reliable, and proactive attitude
- Able to work independently while also collaborating with a small team
- Comfortable working in a fast-growing environment where processes are continually being improved
Healthcare Experience — An Asset
Experience in any of the following would be considered an asset:
- Home care or healthcare administration
- HCA/PSW staffing
- Healthcare HR
- Continuing care
- Nursing home or supportive living administration
- Employee credentialing or compliance
- Scheduling healthcare workers
- A healthcare background is not mandatory if you have strong administrative, organizational, and people-
coordination skills.
Work Location
This is an in-office position in Calgary. The successful candidate must be comfortable working from our
Calgary office and should not be looking for a fully remote position.
