For over 20 years, 3D BabyVision has welcomed expectant families for memorable 3D/4D ultrasound experiences, giving parents the opportunity to see their baby, hear their heartbeat, discover their gender, and create keepsakes they will treasure long after their pregnancy is over.
We are looking for a warm, outgoing and dependable Receptionist & Client Experience Coordinator to join our team and work primarily between our Oakville and Mississauga locations.
This is a wonderful position for a student or someone looking for flexible, casual part-time work. Hours vary from week to week depending on appointments and business needs, so flexibility is important.
The Role
You will often be the first and last person our families interact with, so we are looking for someone who genuinely enjoys making people feel welcome.
Our clients are expectant parents celebrating an incredibly special chapter of their lives. The right person will understand that kindness, patience and compassion matter just as much as efficiency.
Responsibilities may include:
- Welcoming clients and their families into the clinic
- Answering phone calls, emails and client questions
- Booking, confirming and managing appointments
- Explaining our ultrasound packages, keepsakes and services
- Helping clients select the experience or package that best suits them
- Processing payments and completing basic reception duties
- Keeping the reception and client areas clean, organized and welcoming
- Assisting with client photos and digital galleries
- Creating simple, attractive social media content, including Instagram Stories, Reels and posts
- Capturing occasional behind-the-scenes content around the clinic
- Helping us create a consistently warm, premium client experience
- Assisting with other day-to-day clinic and administrative tasks as needed
Who We're Looking For
You may be a great fit if you are:
- Warm, friendly, compassionate and comfortable around expectant families
- Confident communicating with clients in person, by phone and in writing
- Proficient in spoken and written English
- Experienced in customer service, hospitality, reception, retail or a similar client-facing role
- Comfortable with sales and naturally able to explain and recommend services without being pushy
- Familiar with Instagram, TikTok, Canva or creating social media content
- Organized, dependable and able to work independently
- Comfortable learning new booking systems and technology
- Detail-oriented and able to notice the little things that improve a client's experience
- Flexible with your availability
Because this position may involve shifts at both our Oakville and Mississauga clinics, having a vehicle and being able to reliably commute between locations is strongly preferred.
Schedule
This is a casual, part-time position with variable hours.
Hours may change from week to week depending on our appointment schedule. This makes the position particularly well suited to a student, someone with another flexible commitment, or someone looking for additional part-time hours.
Availability for a combination of weekdays and weekends is an asset.
