The Opportunity
We are looking for a highly organized and detail-oriented HSE Administrator to support our Health, Safety, and Environmental (HSE) programs. This role is critical to maintaining compliance, supporting field operations, and strengthening our safety culture across projects and offices.
Reporting to the HSE team, the HSE Administrator will manage safety data, administer safety management systems, coordinate training and certifications, support audits, and assist with incident and claims processes. Key Responsibilities
HSE Administration & Compliance• Maintain, monitor, and analyze incident data, HSE statistics, trends, and corrective actions
- Track safety violations and follow up on corrective measures
- Prepare, review, and provide feedback on HSE documentation, reports, and presentations
- Maintain accurate, confidential, and up-to-date HSE records and databases
- Keep management informed of any issues impacting safety or operational performance
Training & Onboarding• Coordinate and track safety training, certifications, and renewals
- Ensure training records are accurate, current, and accessible
- Support onboarding processes related to HSE requirements
- Ensure employee and subcontractor compliance with safety documentation
Systems, Audits & Reporting• Act as the primary administrator for safety management systems (e.g., SiteDocs)
- Support safety system configuration, user access, troubleshooting, and data integrity
- Monitor system usage to ensure field compliance with inspections, forms, and reporting
- Assist with internal and external HSE audits
- Support incident reporting, investigations, and injury/claims management
Administrative Support• Assist with contractor pre-qualification submissions (ISNetworld, Avetta, ComplyWorks, etc.)
- Maintain departmental and project files with strict confidentiality
- Provide general administrative support, including filing, meeting minutes, scanning, and document control
- Support the HSE team and site operations to promote safe work practices
Qualifications & Requirements:
- 3–5 years of HSE administrative or coordination experience preferred
- Fluent in English with strong written and verbal communication skills
- Proficient in MS Office (Outlook, Teams, Excel, Word, PowerPoint)
- Experience with contractor pre-qualification platforms (ISNetworld, Avetta, ComplyWorks) is an asset
- Experience using safety management software (e.g., SiteDocs, Cority, Intelex) is an asset

Salary: $60k- $65k Per annum
Compensation & Benefits
The salary offered will be based on experience, qualifications, internal equity, and Carlson Construction Group’s compensation framework.
