Position Summary
As our Clinic Receptionist, you are the first point of contact for our patients. This role is perfect for a true team player who thrives in a warm, healing environment. You will wear many hats—from greeting patients and managing schedules to handling basic insurance inquiries. We offer a flexible schedule that can accommodate your lifestyle, provided our shift coverage needs are met.
Key Responsibilities:
Patient Experience & Care
- Warmly greet patients upon arrival, manage the check-in/check-out process, and collect co-pays or payments.
- Assist patients with completing intake paperwork and comfortably transitioning to their treatment rooms.
- Answer phone calls, respond to emails, and proactively manage the clinic's appointment book to keep the day running smoothly.
Insurance & Administration
- Verify patient health insurance benefits and eligibility specifically for acupuncture coverage.
- Submit claims, follow up on outstanding insurance balances, and answer basic billing questions for patients.
- Maintain organized, confidential electronic health records (EHR) in compliance with privacy regulations.
Team Collaboration & Clinic Flow
- Work closely with our acupuncturists to ensure smooth room transitions and manage patient flow.
- Keep the reception area, waiting room, and treatment spaces tidy, welcoming, and stocked with necessary supplies.
- Step in to help teammates with administrative tasks during peak clinic hours.
Qualifications & Skills
- Experience: 1+ years of experience in a reception, or customer service role
- Team-First Attitude: A collaborative mindset with a willingness to jump in and support colleagues whenever needed.
- Communication: Outstanding verbal and written communication skills with a genuinely compassionate and empathetic demeanor.
- Tech-Savvy: Comfortable learning clinic scheduling software, electronic charting platforms, and standard office tech.
- Organization: Ability to multitask efficiently in a peaceful, yet active clinic environment.
